Question

Can I use Projects to track a project that has multiple donors? I want to track the donations by donor as well as assign the income to the project?

I want to share how projects work in QuickBooks and what you can do to track multiple donors in one project, cascolibtreas-gm.

In QuickBooks Online, you can only assign one donor per project. However, you can create multiple projects with the same name but different donors. Here's a sample screenshot for your visual reference.

To create a project:

  1. Go to Business overview and select Projects.
  2. Click New project.
  3. In the Project name field, enter the project name.
  4. Select the project customer from the Customer ▼ drop-down.
  5. Enter the Start and End date.
  6. Add any notes or details about the project in Notes.
  7. Click Save.

On the other hand, you need to add transactions like invoices. However, projects won’t change how they’re categorized or affect your accounts. You’re simply marking them as a part of the project so you can track a specific project’s income and expenses. This article provides detailed information about this: Set up and create projects in QuickBooks Online.

Feel free to mention my name if you have concerns about projects. I want to make sure your goal of tracking a project with multiple donors is achieved. Take care and have a great weekend ahead!

I have been using Projects for a couple of years now, so I know the ins and outs pretty well. I probably also should have stated that I want to be able to quickly see where we stood on raising money for the project, and how much we'd spent. Using your approach, I wouldn't be able to do that, and I 'd have to decide for each expense which project to allocate it to.

Maybe I should use tags or class instead - any thoughts?

You can use Class as a workaround but you will be forced to upgrade your plan to Advanced when you reach 250 Classes. Another option, use a project management app to integrate with QBO.
