Memorized Reports Repeatedly Show Errors and Are Deleted

 

We are running Enterprise Contractor 16.0 on Windows Server 2012 R2.

 

We have multiple sales by item reports that we create and memorize, will run fine for varying periods of time (one week to multiple weeks) and then the Verify Data utility will find errors and Rebuild Data will delete them. 

 

We run these utilities on a weekly basis, so sometimes these reports pass, and then they won't. We have simpler (less customization) that never have errors. These sales by item reports can have dozens and dozens of individual line items and sub-items.

 

It is very time consuming to recreate these reports. We are using the Customize Report options given by QB to create these, but is there some way we could be causing errors? Alternately, after verifying is there another fix for memorized reports instead of rebuilding?

 

I have attached screen shots of two customize tabs for one of these sales reports.

Thanks for letting us know. Allow me to help isolate the error so you can create memorized reports successfully. 

 

We haven't received any similar reports about this issue, and I appreciate you for taking the time to report this. In this case, you'll need to rebuild your QuickBooks data 3 times before creating a memorized reports, this will remove the empty or damaged information from the file. 

 

Here's how to rebuild your data: 

  1. At the top menu bar, click File.
  2. Select Utilities, and choose Rebuild Data.
  3. Click OK if you receive a prompt to backup your company file. You computer may display the message QuickBooks is not responding. However, as long as you can see you mouse cursor to move, Rebuild still ongoing. Wait for it to complete.
  4. Click OK when you get the message Rebuild has completed.

If the issue persists, I recommend calling our QuickBoosk Desktop Technical Support Team. They have additional tools to investigate this further and process another troubleshooting steps if necessary.

  2. Select US version of QuickBooks Desktop, and click Contact Us.
  3. Type-in Technical Support on the search bar.

Thank you for your reply. I have done the multiple rebuilds, but the person who uses these reports is out of the office for few days so we have not had a chance to create them again.

 

I will follow up in a week or so.

An update on this: at the end of last week we created about 10 memorized reports and over the weekend I ran the Verify and Rebuild utilities. Only one of the reports had an error this time, so it seems the multi-rebuild is the solution.

We have been having the same issue for a while now, however, we have been so busy that we haven't yet taken the time to report the issue.  We were using memorized reports a lot, and our older ones were still working, but new ones rarely stuck around more than once or twice.  We were advised to go through a number of steps, one of which was to delete all of our memorized reports and start over - BIG MISTAKE as we were unable to keep any reports at all.  We have Enterprise Solutions 2019 on Windows server 2016

 

So, I will try this suggestion to see if it solves the issue.

The Verify and Rebuild utilities will comb through, repair, and notify you of data damage within the file. Following the steps provided by my colleague @JanyRoseB above should help you resolve this issue.

Thank you for reaching out, FritzF, I will keep you posted.  When we were troubleshooting the files extensively, before we had to kick into year end gear, we were running data verify weekly and in one week, daily at the request of tech support.  There were so many errors it wasn't at all funny, among which were the memorized reports either no longer opening, or opening with different data completely from what was memorized.  We would rebuild the files, run data verify with 0 errors, and the next day brought more challenges.

 

I'm going to try to follow this protocol this weekend remotely, so I can be in single user mode without interrupting everyone else's work.  As long as everyone logs out of the network at end of day today, I should be able to accomplish it.

I ran rebuild 3 times over the weekend.  1st time, there were 19 errors, 1 of which was and 1 memorized report that was deleted due to "containing corrupted formatting data".  the 2nd and 3rd rebuilds, there were no errors.  See attached report from the 1st rebuild.

 

Afterwards, I created about 10 memorized reports so we could see what would happen.  Today, I asked some of my co-workers to create some reports as well.  We will monitor them this week to see if they stay working correctly.  The ones that I created all opened today, but it is too early to say that all is well.  I'll keep you posted

We have 2 different company files that are having this same issue.  Tonight I ran rebuild on the 2nd company file.  After the 1st rebuild tonight, when I was printing the verify results to file, Quickbooks aborted on me so I am not sure if I need to run the rebuild 2 more times, or 3 more times.  Attached are the results of the rebuild so you can see how many memorized reports are being deleted and the other types of errors are showing.

You can close the window where you are getting the error message. Then, run the Rebuild Data utility until you see no errors. This tool will fix the errors one at a time.
