Scheduling Report emails

I see lots of questions on here asking how to schedule a report for emailing, and a lot of answers telling me how easy it is to toggle the schedule button. It is not so easy though if the toggle button does not exist. Anyone care to explain that to me?

Alas, I still cannot email my report because their is no 'set email schedule' toggle switch on my report. I did find a workaround, however. I created a new group for this one report and the group does have the 'set email schedule' toggle switch.

Hello, @gregmoore.

 

I'm happy to guide you today so you'll be able to set a schedule for emailing reports in QuickBooks Online.

 

First, open the reports you need, customize it, and save the customization.

 

  1. Click on Reports at the left pane.
  2. Look for the report you want to open on the search field.
  3. Tap in to open.
  4. Make the necessary customization you need, then click on the Save customization to save the report.
  5. Enter the custom report's name.
  6. Add a group if you want to add the report to a certain group.
  7. Select who do you want to share the report with.
  8. Hit Save to record it.

Once completed, go to the Custom Reports column to set a scheduled email.

 

  1. Go to Reports at the left pane, then click on Custom reports.
  2. Locate the customized report, then tap on Edit under Action.
  3. Click the Set email button to turn it on.
  4. Set your desired email recurrence.
  5. Enter the email information for sending the report.
  6. If you want to send the report as an Excel file, you can put a check-mark on the Attach the report as an Excel checkbox. Otherwise, the report is sent in HTML format. 
  7. Click Save.

I had the same problem, but I figured it out. If the report is placed in a group, you can't select that individual report in the group and set up scheduled reporting. However, you can set up automated reports for the entire group. So I have decided to not use the group reports feature if I am sending the reports to different individuals.

 

Note to Quickbooks Team: I think this is a silly feature. I want to organize my reports in groups, but not be restricted to send the entire list of reports to all recipients. Please fix this.

I know it's efficient to send a list of reports to all your recipients. For now, you can utilize a third-party app that offers this service. You can go to the Apps menu within your QBO account to look for the tool that works best for you and your business. Let me show you how:

 

  1. From your left navigation pane, select the Apps menu.
  2. Enter a keyword in the search box then recommended apps will show.
  3. You can select each to view them.
  4. Press Get the app now
