Shopify orders synchronization

Hello QBO,

As far as I could see, our team has set up the Shopify integration by using "Shopify Connector by QuickBooks" and it seems it's syncing the orders where the payment status is "paid". So far so good.

In our shop though, we have products that can be pre-ordered and those orders are getting synced when the order's payment status changes to "paid" too I believe. However, we would like to set a rule for the synchronization process so that it only pulls in information of orders that have been paid in case of non-pre-order products, and orders that have been paid AND where the fulfillment status is set to "fulfilled" in case of pre-order products. I would like to know if that's possible or not, and in case it is possible, I would like to ask for a detailed description on how to set that up.

We're glad you've posted your concern in this forum, Tsukiji_XP. I'll discuss how integrating Shopify into QuickBooks Online (QBO) works.

 

The ability to set particular synchronization rules for Shopify orders imported into QBO is currently unavailable. Although you can filter which orders will be retrieved from Shopify, this is based on the payment and fulfillment status. It will not distinguish if these are preordered or not.

 

Alternatively, you can consider using additional supported software that could provide the necessary rule-based filtering when sending your data to QuickBooks.

I would like to ask couple more questions about this topic if you don't mind.


1)

Although you can filter which orders will be retrieved from Shopify, this is based on the payment and fulfillment status.

Regarding this, I would like to check what the current filter setting is but I can't find it. Would you mind explaining me where I can find it? I was assuming it would be somewhere in the Connected Channel's settings menu that I've attached as screenshot. I don't know if the UI looks different for the user who has actually set up the connection and other users, so just in case this matters, the account I'm using has not done the initial connection setup.

 

2) I've noticed that orders which have been imported from Shopify are displayed with the date matching the local machine instead of the shop's timezone. Is that correct?

The office from where I'm checking is located in Japan, but the store is set up with Central-Time (GMT-06). If my assumption/guess/finding is correct, that would likely cause problems when sales from the last fiscal year's day are shifting into the next fiscal year.

Moreover, please know that its primary focus is on adding payouts, which are the payments received from your Shopify store only for completed orders. Given this, you might want to explore alternative third-party apps that can bridge your Shopify store and automate the import of order details and payouts.

 

It's great that you're reviewing the Shopify Connector by QuickBooks app. It's equally important to review alternative apps thoroughly as well. While we can't recommend a specific name for the app, you can follow these steps:

 

  1. Go to Apps in your QBO account.
  2. Select Find apps.
  3. In the search field, type in "Shopify."
  4. Click on the app you're interested in and choose the Overview or Reviews tab to learn more about the app.

I see. Since we don't want all paid orders per say, but depending on the paid AND the fulfillment status, we have to either choose a third party plugin or develop our own solution, given the high subscription prices of the third party plugin providers.

You can set up a custom integration to synchronize Shopify orders with QuickBooks Online (QBO) based on specific conditions using Skyvia. Here's how to do it step-by-step:
