TOAST Sales

I am having a hard time reconciling sales of a restaurant client. They use TOAST to integrate sales from the restaurant and other takeout sales like grubhub, doordash, uber eats, postmates. Does anyone have any tips or can you tell me how you post the sales? None of the individual sales reports match to TOAST main sales report. Any help is appreciated. Thank you

Hello, @cvmom73

Thanks for reaching out to the Community.

Since you've mentioned that your TOAST and your QuickBooks Online sales reports aren't matching the correct way, you can download a migration app to help with your data being brought in correctly.

Below are instructions with locating the QuickBooks apps in your account:

  1. Sign in to your account.
  2. In the left-hand menu, click on Apps
  3. You can locate an app, or you can search for one using the search bar in the top right corner.

For more information about QuickBooks migration apps, you can refer back to this web page: QuickBooks Apps.

If you have any more questions, please don't hesitate to comment below. Have a safe and productive rest of your day!

I have a similar issue.  We also use toast and cohesion is the importing company used.  The sales come through as journal entries but the sales tax is not showing up when I go to do my quarterly taxes?  I see it listed on the journal entries when I open them..  Any suggestions on how to fix this?

Hi there, Kryssy.

Thank you for posting here in QuickBooks Community. I'll be sharing details on how journal and sales tax transactions work in QuickBooks. Then, to ensure you'll be able to record your income entries with tax so they'll appear on your quarterly taxes.

Journal entries are used as a last resort for entering transactions. They allow you to enter your account, debit, and credit to move money and force your books to balance in specific ways. With this, there's no field in the JE section for tax details and that's the reason why sales entries are not showing up in quarterly taxes.

Sales transactions are usually entered as invoices or sales receipts in QuickBooks. Since you're using Toast and Cohesion or an app when importing sales data, I reccomend transferring them to the spreadsheet or Excel and importing them into QuickBooks Online in one go. You can click this article to see the detailed steps on how to perform the process: Import multiple invoices at once.

Additionally, you also have the option to manually enter those sales transactions in QuickBooks Online. You can follow the steps below depending on what type of transaction you want to record.

Here's how for invoice:

  1. Click the + New button. Then, choose Invoice.
  2. From the Customer dropdown arrow, select a customer.
  3. Review the Invoice date. If you need to, change the due date in the Terms dropdown.
  4. Select a product or service from the Product/Service column.
  5. Enter a quantity, rate, and change amount if needed.
  6. Select the Tax checkbox to charge sales tax.
  7. Click Save and close.

Then, you can open this article to view the steps on how to record sales receipts: Create and send sales receipts in QuickBooks Online.

Lastly, you may refer to this article to view various details on what information you can import to QuickBooks Online to avoid any errors: Common questions about importing data to QuickBooks Online.

You're always welcome to post if you have other concerns about sales tax and if you need to work on your data in QuickBooks. I'll be sure to get back to you, Kryssy. Have a great day!

Did you figure this out? i have similar questions about Delivery Apps and online ordering. Like how to label the orders coming in, ticket prices, type of food ordered on Doordash, etc.

Thanks!
