Buy nowI am trying to set up scheduled reports for a company, one which accesses the company file in multi-user mode at random hours of the day. Everything I'm reading seems to indicate that scheduled reports cannot be sent from the company file while it's in multi-user mode.
If I set up the reports while the file is in single-user mode, will they still work in multi-user mode? I tried doing some testing, but cannot find a good work around. If anyone could either give me a firm yes or no, or give me some insight into things I can try, I would appreciate it.
Just to clarify: The entire company uses one company file, there are no single-user files.

I'm here to provide some info about scheduled reports in your QuickBooks Desktop account.
You're correct, at this time scheduling reports can only be done in single-user mode. If you schedule the reports in single-user then switch over to multi-user it will result in the error "the report is not accessible." There are a few reasons why this feature isn't available in multi-user mode or a hosted environment:
- The computer on which you configured the scheduled report is NOT in sleep or hibernation mode.
- A company file with a scheduled report should be open to one user only.
- The email preference is set up to Outlook and needs to be open and running.
If you want to run reports in multi-user mode, some user have found it helpful to manually create and send the reports or look for a 3rd party application that has this capability. You can search apps here: QuickBooks apps.
The following article provides additional info about setting up and modifying scheduled reports.
Please don't hesitate to drop a comment below if you have any other questions. I'll be here to lend a hand.
Trying to setup Scheduled Reports, researching the latest on this and will echo what others have said years ago - it's an unusable feature since it still requires single user mode!
Companies using Enterprise edition are 9/10 times larger and therefore multi-user. It's unreasonable to make sure every user is logged out, switch to single user mode then leave QB running, like overnight, to run scheduled reports then manually switch back to multi-user mode before everyone comes to work the next day. This defeats the whole purpose of having something "automated"!
No, I'm not interested in providing feedback...that's obviously been done many times by others wanting to do the same task. And it's also obvious that Intuit is not listening to its user base otherwise they would've already changed.
No, I'm not interested in paying for 3rd party tools either! We're already paying thousands per year $ (especially since Intuit forced us into a yearly subscription instead of just buying a new Desktop version every 3-4 years).
Do better Intuit! Need to research alternative accounting apps/solutions...
