Why is Estimates

Hello @candice9.

From what I can gather, you're needing a user to be able to access estimates and they're currently unable.  I'm hoping you can share a bit more insight into what's going on, and I can provide a bit more help. Depending on which tier of QuickBooks Online you're using, users can have different roles.

In the meantime, I'm sharing a few helpful articles:

I'm looking forward to hearing from you and getting this worked out! Take care.

Why is Estimates

My question wasn't completed all the way:

My question was about the Estimates and Progress Invoicing Report not showing up on my sales user reports list.

Glad to see you back, @candice9.

I just want to ensure you're looking in the right place and make sure I'm on the same page. Here's what you need to do:

  1. Go to the Reports menu.
  2. Use the Find report by name search bar to search for Estimates & Progress Invoicing Summary by Customer.

Let me know if the report shows when you do this, and if you could include a screenshot, even better!

If you could also let me know:

  • What your user role is within the account.
  • What version of QuickBooks Online you're using.

We'll get this worked out! A bit more information and we'll get to the bottom of the issue.  Looking forward to hearing back.

Why is Estimates

I am the master admin, the person I have assigned the Sales role does not have that in their reports list.

I know where to find it, it is not showing up on his list even when I search it under his login.

Why is Estimates

Hi there, @candice9. Allow me to share some insights about your query.

We’ll have to make sure that we assign proper roles to our members in order for them to be able to have access to those specific functions in QuickBooks Online.

Since you’ve mentioned that you already assigned someone to the Sales role but still they can’t view in their report’s list.

The user can:

  • Enter estimates, invoices, sales receipts, credit memos, and refunds
  • Enter charges and credits
  • Create and delete statements
  • Receive payments from customers
  • Fill out timesheets for anyone
  • Add, edit, and delete customers, products, and services
  • View tax rates and agency settings
  • Use and adjust tax in sales transactions and general journal entries, including manually overriding calculated tax amounts
  • Add, edit, and delete currencies
  • Edit exchange rates

However, this user can’t:

  • Print check (including refunds)
  • Make bills and purchases billable to customers
  • Add, edit, and delete accounts and quantity on hand
  • View bank registers
  • See total income and expense amounts on Home, Vendor, and Customer pages
  • Run tax reports or view tax history
  • Prepare or file a sales tax return or record sales payments
  • Set up new or change existing tax agencies or settings
  • Set up multicurrency
  • Perform home currency adjustments
  • View all reports

Although, you can still edit your user’s roles to give them access to specific functions in QBO.

To do that, these are the steps:

  1. Go to Settings :gear:, then select Manage users.
  2. Select the Users tab, then find the user you want to edit.
  3. Select Edit from the Action column.
  4. Choose from the existing custom or QuickBooks roles. Or select + Add New to create a new custom role.
  5. Enter a role name and description, then select Save.

After performing the steps that I’ve mentioned above, you might want to memorize the report.

Let me know how it goes by leaving a comment down below. I’ll make sure to get back to you as soon as possible. Keep safe!

I did do a custom role and it said that I had to use to sales role. So when I click all reports button it does not actually let you see all the reports?

Thanks for sharing an update with us, Candice.

A user with a Sales role is unable to view reports in QuickBooks Online (QBO) Advanced. They only have limited access to specific tasks in your account.

You can refer to the details provided by my colleague above or check out this link for additional reference: Add and manage custom roles in QuickBooks Online Advanced.

If you want that user to view all reports in your QBO account, you might want to consider changing their roles. You can refer to the steps shared by my colleague KurtKyle_M above.

Let me also add this article that you can read for reference in case you want to learn on how to create a custom reports in your account: Create custom reports in QuickBooks Online Advanced.

I'll be here if you have any other questions or concerns about user roles in QBO. Please feel free to tag me in your reply and I'll answer them for you. Keep safe and have a good one!
