Can I undo a past bank reconciliation in QuickBooks Online myself, or do I need an accountant?

 

In QuickBooks Online you can undo a past bank reconciliation yourself, and in most cases you don't need an outside accountant. Thanks to a recent update, if you're the primary admin (or have the in-house accountant role) you can now undo an entire reconciliation in one step, right from your own account. If you only need to fix a transaction or two, you can instead unreconcile individual transactions from the register.

One thing to note: whether the one-step full undo is available can depend on your QuickBooks Online plan as well as your user role, so the exact options you see may vary. If you don't see the Undo option described below, use the manual method in Option 2 or invite an accountant.

 

Before you undo:  Undoing a reconciliation permanently deletes its reconciliation report and any attachments, so download anything you want to keep first. It also reverts every reconciliation completed after the one you pick, and your beginning balance resets to the ending balance of the prior reconciliation. If you work with an accountant, check with them before you start.

 

Option 1: Undo an entire reconciliation in QuickBooks Online 

Available to the primary admin, the in-house accountant role, or an accountant connected through QuickBooks Online Accountant. This reverses a whole reconciliation at once, no need to touch transactions one by one.

  1. Go to All apps, then Accounting, then Reconcile.
  2. Select History by account.
  3. Select the account and date range, then find the reconciliation you want to undo.
  4. From the Action column, select the dropdown ▼, then select Undo.
  5. Review the consequences in the confirmation window, then select the checkbox to acknowledge them. (You can't continue until you check it; to back out, select Cancel.)
  6. Select Undo reconciliation.

Option 2: Unreconcile individual transactions in QuickBooks Online 

If you only need to fix a few transactions rather than a whole period, you can change their status directly in the register. This doesn't undo the full reconciliation.

  1. Go to All apps, then Accounting, then Chart of accounts.
  2. Find the account containing the transaction and select View register.
  3. Locate the transaction. Reconciled transactions show an R in the checkmark column (✔).
  4. Select the transaction to expand the view.
  5. Select the box in the checkmark column repeatedly until it's blank. This cycles the status from R (Reconciled) to C (Cleared) to blank (Uncleared).
  6. Select Save.

I'd be happy to help you unreconcile your past bank reconciliations so they don't throw off your records, akrill.

If you’re currently using QuickBooks Online Accountant, you can utilize the Undo reconciliation feature to unreconcile previous transactions without manually editing individual transactions from within the register.
 

Here's how:

  1. In the left menu, click Accounting.
  2. Go to the Reconcile tab.
  3. Select History by account.
  4. Choose the account you want to reconcile and set a date range from the dropdowns.
  5. Find the reconciliation on the list.
  6. Select View report to open the Reconciliation Report.
  7. Review any discrepancies and changes your client wants to make.
  8. When you’re ready, select the dropdown ▼ in the Action column, and then select Undo.
  9. Select Yes and then Undo to confirm.

Alternatively, you can invite an accountant to help you unreconcile the transactions.

 

If you use a different version, you can undo a reconciled statement by manually unreconciling each transaction. Let me walk you through the procedure step by step.

  1. Click the Gear icon at the top.
  2. Select Chart of Accounts.
  3. Locate and choose the account you’re working on, and click on View Register.
  4. Select the transactions you want to unreconcile.
  5. Keep on clicking the R status until it shows blank or cleared (C).
  6. Click on Save.
  7. Choose Yes to confirm.

It is ridiculous that your company doesn't allow QB Online users to roll back an accidental reconciliation.  It's just a way for you to squeeze more money out of us by forcing us to pay our accountant to do it for us.  It is unethical business practices like this that will have me finding a new accounting software for my company.  Your greed has motivated me to find a new company to work with.

I read this solition as:

 

Unless you pay Intuit, or one of our partners to do your accounting for you, you may only remove reconciliation one transaction at a time. Effectively removing the ability to remove a reconciliation, so the only solution here is to pay Intuit a lot more money for a feature that should exist in the software by default.

This is yet another example of the Intuit corporation holding small businesses hostage and trying to squeeze more of our hard-earned dollars out of our hands. To not allow a business owner complete control over their business accounting without a premium service fee is simply outrageous. I'll be filing yet another complaint with the Better Business Bureau. (I filed one about the Shopify product from Intuit for the same money-grubbing kind of scam.)
