Report Groups (Modern View) Cannot Be Scheduled as Excel Attachments

In Quickbooks Online's 'Reports' pane, for report groups containing 'modern view' reports, the group-level 'Create a Schedule' option (accessed by clicking the down arrow next to the group name) does not allow for reports to be emailed in excel format. PDF is the only accessible option (Excel and CSV are greyed out)

 

Please see the attached PDF where I show the group's dropdown menu from the Reports pane and workflow creation page opened by 'Create a Schedule'.

 

Please note, when using dropdown menu adjacent to individual reports within the group, the 'create a schedule' page does allow for the single report to be emailed in excel, PDF or csv formats. I understand creating schedules for each individual report could serve as a workaround, but that's not that I'm after. I don't want each report sent in its own email. The purpose of the group is for a single operation to apply to all its members. Given individual 'modern' reports can export to excel, group-level automations should be capable of doing the same.

 

Aside: This is not an issue for report groups containing 'classic view' reports. For those groups, email schedules are set via the 'edit' button (instead of the down arrow) and offer the option 'attach the report as an excel file' (which attaches all excel files to a single email).

Hi @Skino, I understand the importance of receiving your grouped reports as multiple Excel attachments in a single email. Efficient reporting is key to a smooth workflow, so let’s look into why this is occurring in the Modern View and find a workaround for you.

This behavior occurs because Modern View is built on a new design that currently prioritizes PDF formatting for scheduled report groups. While the option to attach as Excel for entire groups is still being developed, you can continue to use this feature for individual reports.

Moreover, the Modern View offers powerful customization and live filtering. While scheduled report groups currently default to PDF to preserve their layout, we are working to introduce the Attach as Excel option to these grouped views. Because Modern View and Classic View process data differently, this group-level integration is still being finalized.

For now, you can manually export the group from the Custom Reports section of the Reports tab to keep your files together. While this isn't automated yet, it ensures your Excel files are ready for a single manual send. If you choose the PDF option in the meantime, Modern View will keep your column widths and headers perfectly aligned while preserving the professional layout of your data.

I appreciate the 'modern view' has new perks, but it's a shame this it at the expense of the most basic functionality. A prettier PDF is nice, but file formats permitting data manipulation/analysis are critical for bookkeeping. Just to clarify, is my understanding correct that 'modern view' report groups can only be scheduled to email in PDF format, and automatic emailing in excel format can only be achieved by setting individual schedules for every report in the group?

 

It seems the best option at this time may be to exclusively use classic view so reports can be added to groups that offer automation with excel format. Are all 'modern view' reports able to be switched to 'classic view'? I see that option for some reports but not others.

As mentioned by my colleague, Modern View report groups are currently designed to prioritize PDF format for scheduled emails. You are correct that automatic emailing in Excel or CSV formats can only be achieved by scheduling reports individually within the group. This is due to the advanced structure of Modern View, which emphasizes visually optimized layouts in PDF format for automation.

 

Regarding your second question, not all reports in Modern View can be switched back to Classic View. Some Modern View reports are exclusive to the updated design and do not have the option to revert to Classic View. The availability of the Switch to Classic View option depends on the report's structure and its compatibility with legacy features.

 

It's indeed more practical for your specific needs to rely on the classic view for reports that require automated emailing in Excel format. For reports available only in the modern view, you may need to export them manually or work with individual schedules.

 

To help us enhance Modern View reporting features, I recommend submitting a feature request to the software provider for automation with Excel file export options at the group level. Here's how:

 

  1. Click the Gear icon in the top-right corner of the screen.
  2. Under the Profile section, select Feedback.
  3. Enter your suggestions and click Next to submit.
