Question

Posting a single ACH payment to multiple Vendors

How do you post a single large ACH payment coming out of the bank account that pays multiple vendors?

Example

Bank shows a $10,000 withdrawal

This single ACH amount from the bank pays

Vendor A  1500

Vendor B 2500

Vendor C  5500

Vendor D 500.

In the Bank feed it only shows the $10,000 withdrawal.   Prior to the most recent update, you could create a journal entry showing the credit to the bank account and multiple debits to Accounts Payable for each individual vendor.  This no longer works.

You cannot post a single large ACH payment to multiple vendors. As a workaround, you can create a Bill for each vendor and match it to the lump-sum ACH payment from your bank feed.

Here's how:

  1. In the upper-left menu, click +Create, then under Vendors, choose Bill.
  2. In the Vendor field, select the vendor or choose Add new if they aren't in the list yet.
  3. Set the Bill date to the date of the original charge. Adjust the Due date if needed.
  4. In the Category details section, choose the Category (the expense account), and enter a short Description.
  5. Enter the vendor's amount in the Amount column. For example, $1,500 for Vendor A.
  6. Click Save and new to go straight to the next vendor's bill.

After creating multiple vendors totaling $10,000, go to the Bank transactions page to match them.

Here's how:

  1. In the left menu bar, click All apps.
  2. Choose Accounting and select Bank transactions.
  3. Find the withdrawal for the amount of $ 10,000 and click.
  4. Choose Match, then check the boxes for the bills from Vendors A, B, C, and D. The total at the bottom should show $10,000.
  5. Finally, click on Match below to complete the process.

For more information about matching your bank transactions, refer to this article: Match your bank and credit card transactions.

Give this workaround a try the next time you have a lump-sum ACH payment to match, and feel free to reach out if you have any questions.
