Joint venture Compliance tracking
Hi QBO Community,
We’re a healthcare staffing organization and are working under a Joint Venture (unpopulated) structure that must comply with strict participation rules for each contract awarded. I’m looking for guidance on how to track and report compliance without using the Projects feature in QuickBooks Online.
JV Compliance Requirements (Example: $100 Contract)
We have three main partners:
- SDVOSB, Managing Venturer & Protege
- Mentor, Large Business
- Subcontractors
Every contract must meet the following:
- 51% of the total contract value ($51 of $100) must be completed by our JV workforce:
- Of that $51:
- At least 40% ($20.40) (can do 100% as well) must be completed by SDVOSB
- The remaining 60% ($30.60) (max only 60%) can be completed by mentor
- The remaining $49 of the contract may be sub-contracted to large businesses or non-SDVOSB entities.
What I Need Help With:
I would like to track this compliance per contract, and need help designing a tracking structure inside QBO that would allow me to:
- Record and monitor income and expenses per contract
- Break down who performed the work (SDVOSB-Managing venturer vs Mentor vs Subcontractors)
- Generate reports to validate:
- 51% rule (JV workforce)
- At least 40% participation by SDVOSB of 51%
- Mentors’ participation capped at 60% of 51%
- 49% subcontracting to large businesses
My Questions:
- What’s the best way to structure my chart of accounts, locations, classes, or tags to achieve this?
- Can locations or classes be effectively used to reflect partner-level contributions per contract?
- Is there a way to set up recurring compliance tracking reports or dashboards inside QBO?
- Are there any best practices or templates for handling contract-level contribution tracking in JV settings?
I would truly appreciate any tips from others who’ve handled similar tracking challenges within QuickBooks Online.
