Question

Invoicing using quantities

When I create a partial invoice from an estimate, it does not allow me to enter the quantities. That cell is greyed out. Instead, I have to calculate the dollar amount, enter that in, and then the quantity shows up.  That makes no sense to me.  Is there a fix for that?

I completely understand why this workflow feels counterintuitive. When using progress invoicing in QuickBooks Online, the system locks the Quantity column by design because it calculates partial billing based on percentages or dollar amounts rather than unit counts.

As a workaround, you can let QuickBooks calculate it for you using a simple shortcut:

  1. Select Manual entry for each line when converting the estimate to an invoice.
  2. Click Create invoice.
  3. In the Due column, set it to Amount ($) and type your quantity multiplied by the rate (for example: 10 * 50).
