To the QuickBooks Executive Team and Payroll Operations,

I am writing this letter to express my absolute condemnation of your recent policy change regarding the mandatory drafting of payroll taxes on the same day as payroll processing. This move is a gross overstep of your role as a service provider and represents an unacceptable interference in the financial management of my business.

As a business owner, I am responsible for managing my own cash flow and ensuring that my obligations—both to my employees and the government—are met within the legal timeframes established by the IRS and state agencies. By forcing an immediate withdrawal of tax funds, you are effectively seizing capital from my operating account before it is legally due to the authorities.

This policy demonstrates a complete lack of understanding of the realities of small business operations:

  • Financial Autonomy: It is the prerogative of the business, not the software provider, to decide when funds are moved, provided we remain in compliance with the law.

  • Cash Flow Disruption: Many businesses operate on tight windows where receivables and payables are balanced over a period of days. Your forced drafting creates artificial liquidity crises that would not exist under standard regulatory timelines.

  • Overreach: You are a tool for bookkeeping and payment processing; you are not my CFO, nor are you a regulatory body. You do not have the right to dictate my internal treasury management.

This "feature" is not a service; it is a hindrance that provides QuickBooks with the benefit of holding onto my capital while stripped of its utility for my business. I strongly urge you to provide an opt-out mechanism that allows businesses to maintain their own tax liability schedules as allowed by law.

If QuickBooks continues to insist on overstepping its bounds and dictating how I manage my bank balance, I will have no choice but to move my entire financial ecosystem to a platform that respects the autonomy of the businesses it serves.

The only reason quickbooks is withdrawing funds five days earlier than it's due is to make interest off of everyone's money fraudulently.  Unfortunately, the CEO doesn't have any balls to keep his CFO in check.

I’ve been a customer for over 20 years starting w/ QB Desktop and then moving to QBO. We have a seasonal business with about 15 employees during peak season and 5-7 on slow months. Our operating account doesn’t always have thousands of dollars sitting there to be withdrawn automatically, especially when the taxes aren’t due for months. I’m sorry but this wasn’t done to make things easier for QB’s customers. I now have to monitor much more frequently to make sure funds are available not just to cover payroll but to cover all the payroll taxes at the same time in addition to covering all our other bills like utilities, supplies, maintenance, rent and everything else that has to be paid out. 

When this mandatory payroll tax withdrawal came down, businesses were stuck. There wasn’t enough time to research other payroll services and just do a switch. It’s a lengthy process and should be done at the end of the year to avoid confusion. QBO decided to do this in the middle of the year so even though I was angry and really not comfortable at all authorizing QBO to withdraw cash from our account whenever they chose to, everyone was pretty much pushed into it. 

When I completed the MD Unemployment Employer POA Authorization Form on MD’s BEACON website (mandatory per QBO) I discovered that a THIRD PARTY, PayCycle Inc. is actually going to manage the reporting. So QBO is subcontracting the work and another company is privy to all of our business information.

I’m going to spend the next few months researching other alternatives like Patriot, which allows businesses to decide when to pay their taxes and also integrates payroll into QBO easily. I’m also going to look at moving everything from QBO to another complete accounting service. I’m confident that I will have made a decision by the end of the year even if it costs a bit more. I want to control our cash flow and accrue interest while our money remains in our account until taxes and other bills are due. Why would I want to pay, for example, Federal 940 taxes in July when it’s due in December?  If my rent is due on the first of the month, why would I pull it out of my account on the 15th and just sit on it?

Amen. This decision by Intuit is such a gross overuse and abuse of their authority. I don’t even understand how it is legal and if anyone wants to start a class action lawsuit against Intuit I will be first in line to join.

We have been a QB users since, 2006 and have used Desktop for 19 years. In 2026, we decided to go to QBO to help simplify when I am not at the office. When initially signing up with Online, I was never told, payroll was going to a seperate charge and was never told it would now cost us $8-$10 per employee for direct deposit a month. Which was free when we had Desktop Enterprise. So, once signed up, I in put all of our information as far as tax ID, State tax ID etc, (thinking this was what I was suppose to do). I did not know I was inputting information in for QBO to pay my payroll taxes for me. I have tried multiple times to get QBO to stop paying my payroll tax for me, I have an accountant and myself to pay this and my quarters, my W-2’s, my business taxes and my personal taxes. NEVER got anywhere with this and was told that, there is no way to change it. So, I have let them pay my weekly taxes, since I had no other choice, ( which is what I was told back in Jan 2026 and Feb 2026. So the one tax set up that I did not do was state unemployment tax. Now, I am being told that if I did not get that set up, that my payroll would be shut down.  I did not sign any paperwork for QBO to payroll weekly taxes I have called about this multiple times. I don’t know how this is legal for QBO to mandate there program for payroll taxes weekly to be paid by QBO and the quarterly forms. I have an accountant to do that for me, why can’t a company choose who they want to pay their weekly taxes and file their quarterly forms. This infuriating, it BS and I am so pissed. I believe QB will be loosing alot of people due to this mandate, which should be illegal. There should be an option to choose.

Not only that, I am suppose to get 1 one year view of my QB Desktop that I had a subscription to. When I canceled the subscription, I lost all 19 years of work because I can’t access the information unless I sign back up for the subscription. I have spoken several times with QB about this and all I get is there is a glinch in the system and they are working on it. Then I would get an email stating my ticket was fixed, I sign in and still samething, no access. 

Funny how no QB personal has responded to any of this complaint. If I had another software to go to I would do it in a Heart be start all over again. Just to provid a point.

Thank you all for your comments.  I have been totally frustrated also. 

The main thing I am concerned about is I’m not getting proof that they are actually paying the taxes. I have checked on SWH website, NO PAYMENT showing.  IRS, NO PAYMENT showing.  QB not sending us a “the IRS have accepted your payment” confirmation with an acknowlegment number. NOTHING!!! Just a email stating the amount withdrawn from our account and the breakdown of the withdrawal.

This is totally illegal, and if I receive a notice from the IRS after they file my 941 (if they actually file it this quarter) that no payments were made, I’m heading straight to my lawyer.

They are receiving our interest on the money they are withholding.  That’s our interest.  

I asked some of my questions to the help in QB Online, but didn’t get answers.  I asked to speak to a live body and got this response.  Message sent to Kramerica Enterprises Inc.  When I google this company, it says based on the character Kramer from Seinfeld.  I THINK WE ARE BEING SCAMMED AND QUICKBOOKS IS USING OUR MONEY IN A PONSIE SCHEME.  

I’ve never really liked using QB, but there weren’t alot of choices when I started.  If everyone could post some other software options on this platform, I would greatly appreciate it.
