Question

Multiple Users

I want to approve someone to be a multiple user on One Business account. But I have other accounts in my Quickbooks that I don't want him to have access to. I only want to give him access to one business, not other business accounts that I have on my computer. So my question is this:  By giving someone access to a quickbooks company file, will he be able to access other company files?  Or is access given only for that one company?

Hello Liksufalcon,

Welcome back to the Community. QuickBooks is designed to help you streamline your work using the powerful features offered in the program. I'll be happy to share more info about managing users so you can get back to doing what you enjoy.

When adding a user to a company file, it's important to note that this user can only view and manage that specific company file you'd have added them to. You can also verify the user roles and permissions of a specific user using the steps below:

  1. Go to the Company menu, then select Users.
  2. Select Set Up Users and Roles.
  3. Enter the admin password, then select OK.
  4. Select the Role List tab, then select View Permissions.
  5. Select the roles you want to review, then select Display.

Let me know if this info helps. I'll be one message away in case you need additional support. Otherwise, I wish you a great rest of the day. 🙂

Thanks James.

Now how does  this other person signs in to this quickbooks company?   Right now he's also logging on as admin, and of course we are not siyncing.  Doeas he now log on under the name and password I set for him?  To be sure he is remote from me and on a different network.

You're welcome. In order to access and use the company file the user would need to login using their login credentials and these credentials depend on how you've added the user. In order for the user to access the company file from a different network you'd need to have multi-user mode enabled. Here's a link with more info on that. Feel free to ask other questions. I'll be here.

Just to be clear.

In order to access and use the company file the user would need to login using "THEIR"  login credentials and these credentials depend on how you've added the user.

I added the other USER by his name under user list and gave him a password.  So does he log in with the usual log in that I log in with or does he log in with the password I gave him? And does he look for his user name to log in?

In order for the user to access the company file from a different network you'd need to have multi-user mode enabled. This I understand that both of us have to have multi user turned on.
