Whether you need a copy of your reports, contact lists, or other business data, QuickBooks makes it straightforward to export. Here's how to do it depending on which product you're using.
QuickBooks Online
There are two ways to export your data:
Using the Export Data tool
This is the best option if you want to download multiple reports and contact lists at once into a single Excel file.
What you can export: Profit and Loss report, Balance Sheet report, Trial Balance report, General Ledger report, Customer List, Supplier List, and Employee List.
- Go to Settings and select Export data
- In the Reports tab, set your date range from the Pre-selected date ranges dropdown
- Add or remove items from the Reports and Lists tabs by turning them on or off
- Select Export to Excel
- Choose the folder where you want to save your file, then select Save
- Select OK to confirm

Using the Export Data tool
What you can export: Profit and Loss report and your Customer List.
- Go to Settings and select Export data
- In the Reports tab, set your date range from the Pre-selected date ranges dropdown
- Add or remove items from the Reports and Lists tabs
- Select Export to Excel
- Choose where to save your file, then select Save
- Select OK to confirm
You'll get a confirmation once the export is complete.
