Hi Intuit,
Just wondering - when are you planning to open the Mileage tracking functionality to all users in QBO and not only Master Admin?
It's been giving a this message for several months now:
You can't access mileage just yet.
This feature is only available for master admins.
Regards,
Alexey Danilov
Welcome back to the Community, @Alexey Danilov.
Currently, only the Master Admin can access the Mileage tracking feature in QuickBooks Online (QBO). The ability to let other users use it is not yet available.
I'll pass along your suggestion to our Product Developers. They're always looking for ideas from users on how to improve QBO. In the meantime, I recommend visiting our Blog site. This is where we share recent happenings and future developments, such as updates to newly added features.
Just in case, I'll add this article for future reference: Track mileage in QuickBooks Online.
Please let me know if you have any other issues or concerns, and I'll get back to you right away. Have a wonderful weekend!
Thanks so much for responding to me so quickly - very helpful!
Just for my knowledge - is there any specific reason why only master admin and not ordinary admins? Is this feature still in Beta?
Thanks,
Alexey
Good to have you back, Alexey.
This isn't a Beta feature. But rest assured that we want to make mileage tracking most useful not only for the accountant but for clients as well.
You might want to ask your admin to Send feedback within QuickBooks. That way, our developers might be adding feature enhancement for this soon.
If there's anything else I can do to help, please don't hesitate to get back to me. I'm always here to help.
This makes no sense to me. What good is the mileage feature if ordinary employees of a company can't use it?
Can we please get a reason why this isn't available to all users?
Hi Seppo,
Giving more access rights to regular employees would definitely lessen your workload. However, the mileage feature is only accessible to the Master Admin. We want to avoid duplicate entries that could mess up your books.
I'll also pass this along to our product team to let them know of your business needs.
We also have other features that are available in QuickBooks Online (QBO) aside from mileage. I have added these help articles for more information: Help Articles for QBO.
Post a reply below if you need further assistance. I'll be right here to help you.
So... how are regular employees meant to track mileage via the QBO app if that feature is only available to the master admin?
It really makes this functionality moot.
We appreciate and have taken note of your feedback , Seppo.
While using it is unavailable for other users, you might want to consider using one of the available third-party apps in our App Store. Just go to the Apps menu and proceed to the Find Apps tab.
Please know that all of the apps that you can see in the App Store can be seamlessly integrated with QBO.
I can also see that feature requests have already been shared to our product engineers with regards to the Mileage feature. It's also best if you can share your feedback directly to them by clicking the Share feedback button within the Mileage menu. The more feedback and request they receive about this, the more chances it'll be considered in the future updates.
We'll let you know once an update is available. You can also reach out to us again anytime you require help when working in QBO.
At minimum, it would be helpful to allow the outside accountant to access this information. Small businesses are starting to say "but that information is already entered!" when asked for mileage information at year end. It's creating a situation where the accountant doesn't look knowledgeable.
There are several admins in my company's QBO, but only one master admin that can use Mileage tracking? Please open this feature to everyone or remove it until it is ready for general release.
Hi
I am the master admin on Quickbooks but it won't let me in either? It says you have to be Master Admin? I am?
Hey Lander1974, do you show as the Master Admin on the Manage Users page (Cog Wheel > Manage users)?
Is you account linked to a QuickBooks Accountant?
Thanks
Hello
Yes it shows as master admin, I use the online Accountant software.
Thanks Lander1974, are you attempting to access the mileage on your account or clients? - Georgia
Hello. Intuit needs to understand that when the accounting firm has IT'S OWN BUSINESS set up in QBOA and has team members driving to do business errands and meeting with clients, other team members need to be able to track mileage on the app.
The responses in this string do not appear to be addressing this situation at all.
We accountants are NOT asking to track our mileage within a CLIENT'S QBO.
There should be a feature within team member setup to allow mileage tracking or not. As the master admin I do very little of the driving. My employees do most of the driving.
Also, as of a few months ago, the mileage feature was working for other team members, now it is not. The responses don't seem to acknowledge this.
I know this because I set up the app on my employee's phone and it was working for a while and now we can't get the mileage feature to show up in the app.
Also, I would like to see a more comprehensive report for mileage. Exporting to excel and formatting is time consuming. QBO is supposed to be about saving time, right? Firm of the Future? QB Desktop's mileage area is great and always has been. Quick to set up and the report is quick and easy and gives a total in $. The only problem is that it needs to be hand-entered.
If we need to hand-enter team member's mileage in QBO, that is a problem, as it is cumbersome to hand enter in QBO vs. Desktop.
How would this mess up the accountant's books? If two team members happened to be in the same vehicle, fine. You just take care of that within QBO by only showing one of the trips as business, or deleting a duplicate trip entirely. Much faster to do that than to hand enter employee mileage.
the point is our CPA is the Master (for now) but their firm is not doing all the driving for the business work. Literally, one of the dumbest things i've seen happen. Our accountant can use milage but doesn't drive on our behalf or represent the company doing our business yet we have to buy an app for employees to log their milage? Might be time to move to netsuite
As an accountant for the client who is using Mileage tracking, do I also need to have master admin authority to access the information on Mileage? And for Simple start subscription there can be only one Master admin.
So does this means that if the accountant is the Master admin, then the client cannot use the mileage feature, and if the client is the master admin, the accountant can view the mileage logs?
Hi Tejitha Buddharaju
You are correct in that you need to be a master admin at the moment to do mileage tracking. The Simple Start, Essentials, and Plus package all only have one master admin. As an accountant though you can be an accountant user. In the coming months, we are looking at adding company admin as a user who can do mileage tracking, we do not yet have a date on when this will be though.
It is a BETA feature that has been mistakenly released too early before any testing. Much like progressive invoicing it is there so they can advertise a feature that doesn't actually work.
Why only one master admin? We have 3 owners with equal share, but one of them could lock the other two out at any time. Why is this so limited, and certain features locked to the admin user?
Hello AllGram,
We have taken all your feedback on board and will pass this on to our developers.
Seriously, not allowing other users to use the Mileage Tracking feature is completely asinine. Why bother putting the feature in if only one person in the entire freakin' compay can use it? Whose brain fart was that? Complete lack of planning and foresight.
Add me to the list of accountant's that needed this feature added so client's can use the mileage feature for the other users.
Amy update on this at all?
