QBO exporting/importing

I am trying to export my QBO accounting files so I can import them to my QBO payroll account since QBO cannot merge the accounts. After QBO said the file was zipped, I now just have a white box on my screen that says downloading - how long should it take? It has been on my screen for 15 minutes.

Thanks for posting here. Allow me to help you in importing your data.

 

You can import data into QuickBooks Online (QBO) but it doesn't support zipped files. You'll want to unzip them first and upload the individual files. From your File Explorer, select the zipped file and right-click. Then, select Extract All.

 

These are the supported file format when importing data in QBO:

  • CSV (Comma Separated Values)
  • Google Sheets
  • XLS/XLSX

 

Also, importing a file only takes a couple of minutes depending on the file size. Make sure that you're using a supported and updated browser. If this behavior continues, you'll want to import the file through an incognito window. These are the keyboard shortcut:

  • Google Chrome: Ctrl Shift + N
  • Safari 11 or newer: ⌘ Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P

 

If the same thing happens, consider clearing the browser's cache.

Thanks Alex - I was actually wondering about the export function. It seems to be taking an exceptionally long time to download the data. I'm wondering if it just takes multiple hours or if maybe I need to try a different browser instead of using the app.

Allow me to chime in and impart some insights about exporting QuickBooks Online (QBO) data. 

 

Exporting QBO data doesn't take too much time. However, it'll also depend on your company file size. To ensure a smooth process, you'll want to log in to your account through a regular web browser and export your file from there. Let me show you how.

 

  1. Go to the Gear icon.
  2. Select Export Data.
  3. From the Reports tab, set the date range.
  4. Add or remove items from the Reports and Lists tabs by toggling the slider. 2.PNG
  5. Then select Export to Excel.

Once done, you can now import your data whenever you're ready.

QBO exporting/importing

Thank you for the information. I was able to get the information exported from QBO but when I try to import the Xcel file back into QBO to the new account it says the field's don't match. Which seems odd since they are both QBO files. Do I have to reformat the files to get them to import? Thanks for any information you can provide.

I'm here to provide additional details to help you import excel files in QuickBooks Online.

 

Before importing your excel files in QuickBooks, please consider these several things you need to know:

 

  • Make sure the information you want to import appears on the first page of your workbooks.
  • Make sure your spreadsheet has a header row. QuickBooks Online uses the first line for mapping purposes and does not import it.
  • Make sure that rows do not exceed 1000. If so, split the spreadsheet into smaller files and import them separately.

 

Then, let's ensure that the correct mapping is selected. For example, you set up your new QBO account with an account number. If the spreadsheet or excel file doesn't have this, you can add a column to match the field. Also, you can select No Match if you don't use account numbers.

 

Here's how:

 

  1. In the Your Field column, click the dropdown arrow icon and match the names to the QuickBooks Online field.
  2. Choose No Match if you don't use the account number.
  3. Hit Next.
