How do I import qbw file manually?

Hi @jim10,

Welcome to the Community. I'm here to lend a hand with importing a .qbw file.

In order to import the file into QuickBooks Online, you will first need to open it in QuickBooks Desktop and import the file from there. If you don't have a version of QuickBooks Desktop installed on your computer or it's an older version, there's no need to worry, as there are trial versions that can be utilized. I'm including some articles that will assist you with this process:

I'm confident that these resources will help you with getting the file imported.

Lastly, since you're importing into QuickBooks Online, I suggest the following link which contains tutorials for the software: QuickBooks Tutorials. This can help to ensure that you get the most out of the software for your business.

Don't hesitate to let me know if you have questions or need anything. Wishing you a wonderful to start to the year.

How do I import qbw file manually?

So your saying I cannot take a qbw and just upload it?? I have to download an entirely different program (which I have to use a prepay free trial time)  to then upload a file to the online version? Seems like a massively lazy design issue. There should be a upload option on the online version not the other way around.

@Oligschlager73

Both applications are build on different platforms. QB Desktop has more features than QB Online. It is why they have to convert the data file of QBD to migrate on your machine.

If you are "lazy" to self convert, you may purchase a 3rd party conversion service.

Welcome to the Community, Oligschlager73.

Yes, you're right. For now, being able to import .qbw file directly in QuickBooks Online is unavailable. The .qbw is the file extension for a backup file format utilized by QuickBooks Desktop. You may need to use a trial version of the QB Desktop and restore the backup to open it and then export it to Online.

Here's a link with the details on how you can move your Desktop file to Online: Move your QuickBooks Desktop file to QuickBooks Online.

You also have the option to use a third-party app that can help you with integrating this directly into QuickBooks Online. You can visit this link: https://apps.intuit.com/app/apps/home.

I'll be around if you have any other concerns.

How do I import qbw file manually?

I have a question about the importing of the files as well. I was successful at the QB trial and then moving it to QBO for 3 of my companies. I waited too long for the last one and my trial is over and now I can not get another trial. I even tried another email etc. What are my options now? This is incredibly frustrating and not only because of the steps but that I can not talk to an actual person in support to help me. All of the articles do not address my issue. HELP!

How do I import qbw file manually?

Hi,

I bought and already installed QB Pro 2021 to my computer, but I can not open an *qbw file. My situation, my colleague worked on that file for me, she sent that file and asked me to download, open that file, input her credentials to log in and continue to update that file.  I download that file, but I can not open it. I was told to choose a specific program to open that file but no way to pick QB. Could you please guide this problem? Thank you!

Thanks for coming here in the Community, @HaPhung!

I'll share steps and information to make sure you can open your file in QuickBooks Desktop (QBDT).

First, let's ensure to install QuickBooks Desktop. This way, your program can find and open the *.qbw file. After that, you can locate your file through this path :C:\Users\Public\PublicDocuments\Intuit\QuickBooks\Company Files

If you have a backup copy, you can restore the file instead. Make sure to run QBDT with admin privileges when performing the said tasks. To do that, right-click on the QuickBooks icon, and then select Run as administrator

If you get the same result, I'd suggest running the QuickBooks Tool Hub. This can help fix company file issues and errors. I'll guide you how:

  1. Close QBDT, and then download the most recent version (1.4.0.0) of the QuickBooks Tool Hub
  2. Open the file you downloaded (QuickBooksToolHub.exe).
  3. Follow the on-screen steps to install and agree to the terms and conditions.
  4. Then, double-click the icon on your Windows desktop to open the tool hub.
  5. From the tool hub, select Company File Issues.
  6. Choose Quick Fix my File, and then click OK.

If the issue persists, please follow steps 3 to 5 in this article for the fixes: Fix company file issues in QBDT.

In case you're unable to open QBDT in the future, you can refer to this article to resolve it: QBDT doesn't start or won't open.

I'd be glad to help you with any file issues you have with QuickBooks Desktop. Assistance is just a comment away. Have a great day!

Ask your colleague to create a backup file (QBB) and send it to your end as another option.

How do I import qbw file manually?

Hi,

Thank you for your guidance. It worked well. Can I have another question re: Bank feed?

I am using Pro 2021, I see they have bank feed feature. I am currently manual record our bank transactions to QB. With the bank feed, I can connect with my bank, and the transaction will be automatic record on QB? if not, could you please explain more about bank feed. Thanks and really appreciate!

How do I import qbw file manually?

I'm here to share how Bank Feeds work, HaPhung.

Yes, you're correct. Bank Feeds is an online banking feature in QuickBooks Desktop that lets you connect to your financial institution. Through this feature, you can automatically download transactions, so you don't have to record them manually. Also, you can process bank and credit card transactions efficiently.

If you'd like to use this feature, there are two primary requirements needed:

  • Access to the internet.

  • A banking account at a financial institution that offers services for QuickBooks.

If you already have these, please ensure your bank supports online services for QuickBooks. You can check this by going to the Banking menu, select Bank Feeds and then choose Participating Financial Institutions.

Aside from that, it's also best to coordinate with your bank. This way, you’ll know what connection method they support, what fees are (if any), and what information you need to set up before using the feature.

Please note that you can't add online services to a QuickBooks account until you have received all the information required by your FI.

Once everything is all set, you can now set up your bank account for Bank Feeds in QuickBooks.

After setting it up, you can now download your bank transactions. Then, add and match them to ensure your books are accurate.

I suggest getting back to this thread if you need help managing your bank transactions. It's always my pleasure to assist you again.

How do I import qbw file manually?

Hi again,

I have a problem with Register Check, could you please help with? After I filled in the payment ( date, name, amount), I hit " Record" , I got this message: " The transaction is not in balance, make sure the amounts in the detail area form for this transaction equal the amount at the top of the form". Could you please guide how I can enter/record the transaction that I paid via check was $50. Thank you so much!

Thank you for getting back, @HaPhung.

You can fix this error by entering the same amount beside the field and the Amount column. I'm here to guide you on how to do it.

Usually, this error happens when the check amount is different from the amount under the Expenses or Items section. You need to review each item added and enter the same amount/total on the $ sign.

  1. From the Check window, switch the tab from the Expenses to the Items section.
  2. Sum up the amount per line items and columns.
  3. Enter the total on the $ field under Date.

I've added these screenshots for your visual references.

Moreover, here's an article you can read more about creating, modifying, and printing checks in QuickBooks Desktop.

You can also save time by memorizing your checks in the future. You can open this article for more information: Create an automatic recurring payment (check) to a vendor.

If you have any other questions about recording checks/payments, please let me know by leaving a comment below. I'm always here to help. Have a good one!

How do I import qbw file manually?

Hi Angelyn,

Thank you so much for your quickly response. I understood now, but I am confused this point. I did not write a check on QB - the first screen shot. I only wanted to record a check from my checkbook- handwritten check that I paid for someone. So, I went to Register Check to record the expense. Why did this error happen? So, I will have the same error whenever I record a hand written check? Thank you so much!

How do I import qbw file manually?

Hi Angelyn,

So, every time I need to record a hand written check or record any expenses from checks, I have to write a check on QB again first?  Thank you for your helping. Really appreciate.

How do I import qbw file manually?

Hi there, HaPhung.

The error will not prompt, as long as the total amounts you entered in the Expenses column are the same or the total amount posted in the field. If you see that the amounts are different, you can click the Recalculate button in the check window.

To help you record and manage your checks, you can use these references:
