Require 2FA for all quickbook online users

I want to make sure (and enforce) that all my Quickbook online users are using two factor authentication. How do I do that?

Thank you for reaching back to the Community. To view all users who are using the 2FA is unavailable in QuickBooks. As a workaround, require all users to log in to https://accounts.intuit.com/ and confirm if your profile is already turn on the Two-step verification. If not, you can follow my colleague @MJoy_D steps above on how to turn on the 2FA.

Let me show you how to turn on the Two-step verification option, @ptollinger

 

Here's how to enable it:

  1. Log in to the Intuit Account Management portal using your QuickBooks credentials.
  2. Click the Sign In & Security tab and select Turn On to expand the Two-step verification section. You will be prompted to enter a phone number if you initially did not enter it during the setup of your account. 
  3. Enter the number you want to use to verify the account and select Turn on text message verification.
  4. Choose to receive the one-time passcode by either text message or voice message and select Turn On.
  5. Enter the one-time passcode you received and select Continue.

After enabling the Two-step verification, we’ll send you a verification code every time you're using a different browser when logging into QBO or when QuickBooks doesn't have cache data files to a web page.

Has there been any updates on this issue? I view this as a massive security weakness in QBO software if admins cannot set a policy requiring all users to use Multi-Factor Authentication. How are any companies running QBO software able to prove to their Insurance Providers that they're security compliant if they cannot show their employees have MFA enabled?

Can someone from Intuit support confirm that as of December, 2024, we still are unable to require 2fa as a prerequisite to perform administrative actions on an account?

Enforcing two-factor authentication (2FA) for all users, especially for administrative actions, is a commendable step to protect your financial and customer data. I'm here to provide information on QBO's security options and help you explore alternatives.

 

As of posting, we can only adjust and implement stricter role-based access controls to limit users to certain administrative actions since enforcing 2FA for all users from an administrative level isn't achievable yet. To do this, you can refer to these articles:

 

 

If restricting user roles isn't applicable in your case, the best we can do for now is to distribute an internal policy to the team that mandates enabling 2FA for all users with administrative privileges, having them submit proof that they've enabled 2FA, and performing periodic audits to ensure compliance. This way, you can ensure that your employees' accounts remain secure.

 

Should there be any concern that employees' accounts are accessed on unrecognized devices, please know that QuickBooks will always require two-step verification as an extra layer of security. I also recommend having them check their Intuit account sign-in logs. Here's how to do it:

 

  1. Sign in to Intuit Account.
  2. Navigate to Sign in & Security.
  3. Scroll down and click on Account activity.
  4. Check all sign-in history details.

Thanks to the users keeping this post alive and updated to let all of us know that Intuit still doesn't have a way to enforce 2FA on users or a simple way to enforce SSO. It is now March 2025 and to my knowledge this feature still doesn't exist. Please, someone tell me I am wrong.

This issue has been open since April 2020.

Why do admins not have the ability to "FORCE" a users to use MFA? I know how to enable it for users but how do I "REQUIRE" a user to enroll in MFA and prevent them from logging on if they do not have it turned on for their user account?

I recognize how vital it is to ensure an additional layer of security for your QBO account when managing user access, Sean.

 

Currently, QuickBooks Online allows you to enable Multi-Factor Authentication (MFA) for your account, but it does not provide the option for admins to force or require users to enroll in MFA. Each user must set up MFA individually, as admins cannot mandate enrollment or restrict login access for users who haven't enabled it.
