Setting a Closing Date

What would prevent the QB Admin user from setting the month end close date?  I am using QB Desktop Enterprise.  I have two company files that I manage.  I recently tried to change the month end close date in the Secondary company from 12/31/23 to 2/29/24 and it would not change.  I did not get any error messages either.  I finally had all other users log out and it worked.  Do I have to have them log out every time I want to to change the date?  I don't recall this being necessary before.  Would there be something else preventing me from changing the close date in the secondary company?

I'm here to explain why you can't set the closing date when other users are logged in to your company in QuickBooks Desktop (QBDT).

 

QBDT provides various features and tasks in either single or multi-user mode. One of these features is the closing date setting, which is only available in single-user mode. That's why you couldn't change the closing date when other users were logged in.
 

Here's how to switch between the modes seamlessly:

 

  1. On the top menu, go to File.
  2. Click Switch to Single Mode/Switch to Multi-user Mode.

I thought that might be the case, however, I WAS able to change the date without changing to Single-User Mode.  I just had to make sure the other users were logged out.  Also, in my Primary Company I don't have to be in Single-User Mode to change the Close Date.  It seems like the QB behavior is inconsistent, but yet, I was able to accomplish what I needed, so I am good.

Am using a company in multi user mode, when setting the closing date as the admin in single user mode, I don't have the same date in each user profiles. What is the solution to have the same closing date after setting it as admin in single user mode?


I have the resolution for you to set the same closing date in QuickBooks Desktop (QBDT), Andykbg. I'll provide the details below.

 

In QBDT, closing dates are set for the entire company file and apply to all users. Are they logged into the correct company file? If so, I'd recommend checking their computer's date settings. 

 

The computer that sets the closing date (admin's computer) doesn't save the date format to the data file. If other ones on the network have different date settings, it can confuse QuickBooks. To resolve this, ensure all computers on the network use the same date format.

 

On the other hand, if all computers in the network are synced with their date format, you can use the tools in the QuickBooks Tool Hub to fix this company file or networking issue. Here's how:

 

  1. First, download the most recent version of the QuickBooks Tool Hub.
  2. Once done, open the file you downloaded (QuickBooksToolHub.exe).
  3. From there, follow the on-screen steps to install and agree to the terms and conditions.
  4. When finished, double-click the icon on your Windows desktop to open the tool hub.
  5. Then, in the QuickBooks Tool Hub, click Company File Issues or Network Issues.
  6. Next, choose Quick Fix My Program.
  7. When done, attempt to start your QBDT program and open your data.
