creating Purchase orders

I'm using QuickBooks Pro 2020 Desktop. and  I need to create Purchase Orders from Estimates as I have lengthy Estimates and it's not efficient to keep manually adding the items into the PO. Older versions were very easy to do this, how is it done on this version?

Good day, @JT5882.

 

QuickBooks Desktop (QBDT) allows us to copy an estimate into a purchase order. This takes a few clicks from your account and I'm happy to guide you how.

 

First, enable your inventory and purchase orders from the Preferences.

 

  1. From the File menu, select Preferences.
  2. Click on Items & Inventory at the left pane, then go to the Company Preferences section.
  3. Check the box beside Inventory and purchase orders are active.

Then, create a purchase order from your estimate.

 

  1. Open the estimate transactions.
  2. Tap on Create Purchase Order at the upper-right corner of the page.
  3. Select either you'll Create purchase order for all allowed items or Create purchase order for selected items, then click OK.
  4. Fill in the necessary information from the Purchase Order page, then hit Save and Close.

Let's run a Verify and Rebuild on your Data in QuickBooks Desktop to troubleshoot your Estimates. If you have Assisted Payroll, then I recommend reaching out to our Payroll Support. On the other hand, I've provided the steps below on how to do this with ease:

 

Verify the Data:

  1. Go to Window in the top menu, then select Close All.
  2. Click on File in the top menu, then choose Utilities then Verify Data.

Rebuild the Data:

  1. Go to File in the top menu, then select Utilities then Rebuild Data.
  2. You'll receive a warning message to backup your company file, press OK.
  3. The Rebuild Data utility will start as soon as the backup is finished.
  4. Hit OK when you get the message "Rebuild has completed."

After completing these steps, let's finish this process by checking the remaining data. You can do this by going to File in the top menu, then selecting Utilities Verify Data. Once completed, try creating a Purchase Order from the Estimate again.

I verified before and after rebuild, no problems found and no issues with rebuild. I still only have create Invoice on estimate page. I checked even the blank estimate doesn't have anything else?

Are you using QBD 2020 Pro edition or else? Try create a dummy file or open a sample one.

Hi there, @JT5882.

 

Allow me to share some information about the option Create Purchase Order from an estimate. This option is only available on the QuickBooks Desktop (QBDT) Premier and Accountant versions and currently unavailable on the QBDT Pro.  

 

As a workaround, you can manually create your purchase order by going to the Vendors menu.

 

Here's how:

 

  1. Open your QuickBooks Desktop.
  2. Navigate to the Vendors menu.
  3. Select Create Purchase Orders.
  4. Enter the necessary information and click Save & Close when done.

Thanks for your interest in upgrading! I'm more than happy to show you how to get the Premier version. 

 

Yes, it is possible! You would just need to grab a copy of QuickBooks Premier. You can get it through this link: https://quickbooks.intuit.com/desktop/premier/.

 

After getting the copy, follow the steps in this article to install and activate it: Install QuickBooks Desktop.

 

A company file from Pro can be opened in Premier (and vice versa) without converting or upgrading the data. After setting everything up, you'll now be able to copy an estimate to a purchase order.

Hey!

In QuickBooks Pro 2020 Desktop, unfortunately, there’s no direct way to convert an Estimate into a Purchase Order as easily as before. You’ll need to manually add items to the Purchase Order from the Estimate, but you might speed things up by copying the item details to the clipboard and pasting them if that helps.

For a smoother solution, you might want to check out Cleverence Warehouse 15. It can create orders, track inventory, and manage items directly, making processes like yours easier by automating data entry with mobile devices.
