Reversing Journal Entries

I work for a large company with a team of four accountants. Every month, we record JE accruals, some of which do not reverse for a couple of months. Recently, we have been unable to reverse JEs without entering a password, even if the reversal relates to an open period. I have contacted QBO support through chat and email, but I have not found a solution yet.

 

I have admin privileges on the account, so I can enter the password and reverse the JEs. However, this process will not be feasible due to the number of JE reversals we perform monthly. I have been using QBO with this company for over four years, and our process hasn't changed. It seems like a glitch with QBO. Has anyone else run into this situation or have any suggestions?

It seems to be a glitch for some users.  I personally have not had the issue but there are a couple of other posts from the past couple weeks that others are having the exact same issue.  Unfortunately, QB is not very good at keeping their customers informed on these issues.  I'm sure you're aware that you can reverse a JE manually.  Other than the reversing JE # being the original JE # with an "R" at the end and a memo that reads "Reverse of JE #", entering it manually does the same thing but is a bit tedious.  Hopefully, they resolve it soon.

You're right that the prompt to enter a password appears when making changes to a closed book. Since you've encountered the same message for an open book, I recommend contacting our support team. They can securely access your account to conduct further investigation. I'll show you how.
 
  1. Navigate to the Help icon at the top right-hand corner.
  2. Select Search, then press the Contact Us button.
  3. Enter your question in the box and hit Continue.

I have the same issue and no one seems to understand the problem. I talked to 3 customer support and they always say that the problem was that I was updating the original JE. I explained that I was reversing the original JE to an open period so it should not ask for a password. They suggested to just enter the password, but here are the issues. We are a team and I can't go to each one and enter the password whenever they need to reverse a JE and what's the difference now of a closed and open period if both ask for password.

 

This reversal function is really basic in any accounting software, and I do not understand why non-accounting engineers would change this function without consulting the actual users. QBO do better.

 

It's been a week now and still no response from QBO.

What does that have to do with anything?  There's nothing in the user's account that would inform this bug. It's just another QuickBooks Online bug impacting multiple customers - likely everyone who tries this. Did you set it up and try it? I expect not.

This is the exact situation we are currently experiencing. I have a team that cannot reverse JEs without a password, so it's all on me to enter the password and reverse. The QBO support team has given me similar responses: "Just enter the password," "Talk to your accountant," "Just open the period of the original JE," or  "Just enter the password." Each time I explain that the reversal pertains to an open period, they don't seem to understand what that means. Instead, they insist that "you can't revise a JE that relates to a closed period."

 

Surprisingly, some members on my team have been able to reverse one JE per day without entering a password. We joke about having a limit of 1 JE reversal per day, but it's not funny. This seems like a glitch because there's no apparent reason why it would work for 1 JE but not for others.

QBO support team has given me similar responses: "Just enter the password," "Talk to your accountant," "Just open the period of the original JE," or  "Just enter the password." Each time I explain that the reversal pertains to an open period, they don't seem to understand what that means. Instead, they insist that "you can't revise a JE that relates to a closed period."

 

These were the exact answers I got. It's like I was making a big deal on entering the password or opening the period. Both password and period closing are controls to not mess up closed periods. I even asked for a customer support that actually used QB since no one understood the issue, as of 9/18, password still required.

When are you getting the prompt to enter the password?  When you click 'Reverse' at the bottom of the original JE or when you click Save on the reversing entry?  And, to confirm, the reversing entry is dated the 1st of the month following the original JE?

We are getting the prompt password when we click save. The date of reversal was the last day following the closed month. Some of JE's I was reversing were 1-2 months prior to the open month, hence their suggestion of "opening the month" is not the solution. Someone from our group might accidentally post transactions that could mess closed periods.

Got a response from QB support and it's still being reviewed. Next update will be on Oct 9.

 

Is the issue complex to have no solution after 2 weeks and need another two weeks before an update?
