View audit logs in QuickBooks Online

QuickBooks Online maintains a log of each financial transaction as it is added, changed or deleted. The Audit Log serves as an audit trail that lets you see who made the changes and exactly what changes were made in your QuickBooks Online company file. For this reason and for security purposes, the activity log cannot be disabled.

You can use Audit Log to research changes made to individual or multiple transactions. If you only want to see changes made to a specific transaction, you can also use Audit History.

Note: Only users with full access rights will be able to view the Audit log.

To use the Audit Log:

  1. Select the Gear icon at the top.
  2. Under Tools, choose Audit Log.
  3. From the Filter drop-down, choose the appropriate User, Date and Events filter.
  4. Select Apply.

The Audit Log shows 150 records at a time. If you need to see more, scroll down to the bottom and select More. When you print the Audit Log, the history column does not print.

When checking login and logout activity, keep in mind that our system only records a logout if the user actually selects Sign Out. If you close your browser or navigate to another URL, our system will automatically log you out after a short period of inactivity, but will not record that in the Audit Log.

A note on special users:

When accessing your Audit Log, you may notice the following users created by our system when we make direct changes to your company:

  • Support Representative: Changes made by a QuickBooks Online support consultant.
  • System Administration: Changes made automatically by QuickBooks Online.
  • Online Banking Administration: Changes made automatically by QuickBooks Online related to connected bank accounts.
  • Import Administration: Changes made automatically by QuickBooks Online related to converting your data from QuickBooks desktop edition.
