Question

Invoice Email Format

I know there have been several questions on this topic, but they are all for Quickbooks online. I have Desktop Enterprise Solutions and a new email format was introduced with no warning that overwrites my branding on the email and places Quickbooks branding and emails. This is unethical to say the least. How do I change the format of the email on a desktop version? This one sucks and is confusing to the customer.

For reference, this is the format I have had for 10 years and need to get back. Anyone, please help, I can't use the new format at all.

I understand how challenging it can be when something you’ve been using for years, especially something important to your business like your branding, is changed, CMorrisIV.

Regarding the new email format in QuickBooks Desktop (QBDT), you’re correct that this change came from an automatic software update. The default header and footer messages are integrated into the system, editing or removing them isn’t available. That said, I recommend sharing your feedback with our Product Development Team. Your suggestions are important in helping us understand user needs and improve future updates.

Here's how:

  1. Locate the Help option.
  2. Choose the Send Feedback Online option.
  3. Select the Product Suggestion option. A pop-up window displays. Enter your feedback suggestion.
  4. Click the Send Feedback button.

We appreciate your patience as you navigate these features. If there’s anything else I can assist you with, feel free to leave a comment below. The Community and I are always here to help.

An absolute unacceptable change. This is very unethical on Inuit's part by putting Quickbooks branding on my communications. It is actually legally actionable. Making suggestions through the app is useless as no one listens. I now have to manually edit each and every email and with the amount of invoices I send monthly, I will be spending an inordinate amount of time doing this. Should I send an invoice for my time to Intuit?

I have the same problem. Intuit putting there brand on my emails is not acceptable, and the wording is confusing. They also removed the ability to send emails via a local Outlook email account, so I have to enter credentials for my SMTP server to send emails from within QB; or I have to generate an email outside of QB and attach an invoice that I saved as a PDF. This takes valuable time out of my day. We pay close to $3000 per year for this, I'm thinking of ditching it for an open source solution. QB doesn't ever seem to get better, only worse. For example, just replying to this post didn't work in Firefox, had to use Chrome because this site kept giving an authentication failed error even though I had already successfully logged in several times. Maddening.

If anyone is curious, I have attached a picture of the removed Outlook feature as of 12/2025.

Interesting. I show all three; web mail, outlook, and quickbooks email.

Anyone come up with a solution to this email format issue?  We are having the same problems/regrets--

January 21, 2026

I contacted support today and they wanted me to put my session in single user mode and remote with me, to show me how to CREATE A TEMPLATE! I explained that is NOT the problem -- the problem is that they are adding their own content around OUR TEMPLATES!!!!!!!

Anyone have a workaround?

Get another accounting software subscription because QB doesn't care at all.  Been almost a month with no fix on their end.  Big old middle finger to the customers who pay for their "Premier" software.

I too want to reiterate that Intuit's forcing of these changes on your customers without any notification or any method to revert is completely unacceptable.  You first broke the capabilities to email out from Outlook in your release in December, taking an entire month to fix it, which you finally did in release R18_59, only for your very next release, R18_60, to go in an add completely unacceptable language and Intuit branding to emails.  I don't want my clients knowing I'm using QuickBooks, because it makes me look like an idiot to choose such a poor piece of software, but yet, now every email I send blasts out that it was generated by Intuit.  Every release you guys put out you simply make your product worse.  So extremely frustrating!

I FOUND A WAY TO GET RID OF THIS RUDE REDICULOUSNESS!!!

AND GO BACK TO HOW IT WAS.

Everyone please reshare this everywhere you see a post about this issue, we all know how detrimental it is for  our businesses.

Go to EDIT>PREFERENCES>SEND FORMS

Under "My Preferences" tab, at the top right, check the box that says "Use "Plain Text" format for e-mailed invoices"

Press OK to save

Send yourself a test email.  I did and my email is how I want it to be, with MY BUSINESSLIKE AND FRIENDLY WORDING! and attachment at the bottom LIKE BEFORE

There's nothing quite like having to apologize to your customers for your ACCOUNTING PROGRAM being aggressive and rude!  So glad I found this fix because we all know Quickbooks will just ignore us.  Yay me

Anybody notice that the format has reverted back to the previous on desktop version?
