Question

"Transaction data has changed" when trying to print invoice

When trying to print an invoice from one of our company files the notification labeled "Transaction data has changed" appears with the message: "Another user has made changes to this Invoice or a transaction that is linked to it.  QuickBooks will refresh the data for this invoice."  Clicking ok and letting the data refresh works and allows us to print, but this happens for every invoice that is printed, only after pressing the print button.  This did not happen previously.  Is there a solution to this issue?  Thanks.

Hi there, @samwolkoff. I'm here to help you fix this recurring issue when printing your invoice in QuickBooks Desktop (QBDT).

 

This error message defined the issue. In this case, we can check if someone is making any changes with the invoice or the transactions linked to it such as the estimate or the payment.

However, if this doesn't fix the issue I'd recommend updating the QBDT program. This process gets the updates of bug fixes and installs new enhancements made. To do that, you can follow the steps below:

 

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. Click on the Update Now tab and tick the Reset Update box.
  3. Select Get Updates and wait for the update to complete.
  4. Click Close once done.

 

Then, restart the program and try printing the invoice. Let's check if it's still showing the same error message. If the error is still there, run Verify tool. This tool will help assess if there is a data issue that might cause the error to appear. If there are any data errors found, run the Rebuild tool to fix them. Before doing it, ensure that you have a backup file ready just in case you'll encounter any error throughout the process.

We tried updating QBDT and the error message changed to "Another user has made changes to this invoice or a transaction that is linked to it.  Quickbooks will refresh the data for this invoice." even though there was only one user logged in at the time of testing.  We will verify and rebuild the company file this weekend and the user will test on Monday.  I'll let you know how it turns out.  Thanks.

Has anyone found a solution to this issue yet?  I am now getting it after every invoice/sales receipt and wow is it slowing down the entry process.

In this case, It’s possible another user is currently accessing the same transaction. I suggest to temporarily disable or turn off the multi-user mode then proceed with the printing.

There were no other users logged into Quickbooks at all, there are only 2 of us that use the software. This does not happen if I switch to Single user mode, only in Multi user mode.  It happens every time I try and print the new invoice. I did run the verify and the rebuild there were no issues and it is still doing the 'warning' when only one user is logged in.
