Two users in different locations

We will be hiring someone to take over my full charge position in our small business.  I still have some expenses to enter from 2019.   The new person will primarily work on 2020 while I wrap up 2019, although they may also help with minor clean-up transactions.  I work from a home office and the new person will be in the company office.

 

With me working remotely, what options are there for both of us to work on the same company file?

I read about multi-user, but we do not have a server and my understanding is that multi-user won’t work unless we are in the same physical location.

 

What is the best and most efficient way to handle this situation so we can both get our work done without risking losing transactions?    We will each be using Desktop Pro Plus 2020.

I am sorry to miread your post. You can use the current edition (i.e Pro) but with 2 user licenses. Make sure to have the same license code of QuickBooks for both machines. You don't need to install QuickBooks on the client's machine. She/he will run it virtually on the host.

A remote desktop solution is the cheapest one but it will not meet your needs to work on the same file at the same time.

Your best option is to deploy a private cloud solution. One computer will be assigned as the host and the other one will become the client. You need to have a license of Premier for 2 users to run this multi-user feature. The cost for the private cloud solution is $25/access/month.

Thank you very much, I wasn't aware that this was possible.

 

For the private cloud, do I have to switch to Premier with 2 users, or can I just add another user to my existing Pro license?

I can help you with that, RUBEN.

 

You can set up a multi-user network to allow multiple users to collaborate on the same company file at the same time. In this setup, you'll need one computer (server computer) that hosts your company files. Your employees will also access your company files through workstations, the computers that connect to your network that don't host your company files.

 

When you're ready, you can start by setting up QuickBooks Desktop on your server computer. Here's how:
 

  1. Download and then install QuickBooks Desktop on your server computer.
  2. Select Custom and Network install for the install type.
  3. Select I'll be using QuickBooks Desktop on this computer, AND I'll be storing option if you want the full version of QuickBooks Desktop on your server computer.
  4. If you just want your server computer to host your files, select I will NOT be using QuickBooks Desktop on this computer.
  5. Follow the on-screen instructions to finish the install.

We recommend keeping your company files on your server computer's local hard drive to easily share them over your network. However, if you want to keep your files on a network drive, you can map the drive in Windows. This way, you'll have access to folders stored in another drive, server, or computer over a network.
