My customer and i had an agreement that they’ll shoulder the fees. How to do that? Can we add it below to the products we sell in the invoice?

Yes, since your customer agreed to shoulder the fee, you can manually add it as its own line item right below your regular products/services on the invoice if you don't have QuickBooks Payments set up. Here's the process:

  1. Go to the Gear icon, then Product and services.
  2. Select the New product/service option, then choose Service.
  3. Name the service "Processing Fee" and map it to the appropriate account.
  4. Finally, add this item as a line on the invoice with the corresponding fee amount.

Follow the full steps provided in the article to learn how to add the item on the invoice: Charge a service fee to customers in QuickBooks.

If you have QuickBooks Payments, it has a native "Your customer pays the fee" toggle. When enabled, the payer covers the fee automatically when they pay online (no manual line item needed). Here's how:

  1. Head to Settings, then select Account and settings.
  2. Go to Sales.
  3. Click Invoice payments.
  4. Ensure you check Your customer pays the fee.
  5. Uncheck all other payment methods (credit card, ACH bank payment, PayPal, and Venmo) here. If not, you'll have to uncheck them on the invoice.
  6. Hit Done.

For more information on how your customers can pay invoices by ACH bank payment with a convenience fee in QuickBooks Payments, please view this article: Add a convenience fee to customer invoice payments made by ACH bank transfer.
