Authorize.net - import / download payments

I use Authorize.net to process almost 1000 payments on the first of each month. Is there a way that I can import those payments to Quickbooks desktop instead of manually keying in each one? It takes HOURS!

In this instance, I recommend checking out third-party apps that integrate directly with your QuickBooks account. By searching the Desktop Apps site I was able to find one for Authorize.net.

Thanks for your response. I don't think that will work. The invoices are saved as a memorized transaction and the auto payment is saved as a recurring charge through Authorize.net so there is no invoice number attached to the payment (since it changes each month). I don't think that there would be a way for an automated app would know where to apply the money.

You can check with Authorize.net to see if there's a way to integrate it with QuickBooks Desktop (QBDT) so that your transactions will automatically sync. This would eliminate the need for you to manually import your data.

If integration isn't possible, you can use IIF files to import invoices and payments into QBDT. To learn more about the lists and transactions that can be imported, please refer to this article: Export, import, and edit IIF files.

Remember to back up your company file before importing IIF files. If you ever run into problems, you can use your backup to restore your data. Here's how to import:

For QBDT for Windows:

1. Sign in to your company file as an admin. Ensure you're in Single-user Mode.

2. Go to the File menu, then select Utilities.

3. Click on Import, then select Import IIF.

4. Choose the IIF file you want to import and click Open.

5. Select OK to confirm the import.

For QBDT for Mac:

Sign in to your company file as an admin.
Go to File, then select Import.
Select From IIF Files, and then export your IIF file.

Please note that there's a limit to the number of list items you can import. For more details, please see this article: Maximum number of list entries.

Also, keep in mind that when you import IIF files, transactions aren't automatically linked. You'll need to link the invoice with its corresponding payment after the import.

It looks like you need a 3rd party app to do that. I have no affiliation with them, but look at Commerce Sync:

They also limit the third-party apps that are allowed to sync with QB Desktop. Alternatively, you can use the importer tool and its license is $200 one-time. If you meet the requirements, you can get it for free.
