Accounts Payable Report Suggestion

Hi!

Is there any way that we can get these many columns fields in the same report to view and reconcile the Accounts payables of any company?

It would be really very helpful to see all required information at the same place in a single report..

Vendors name/BN
Purc Inv date
Purc Inv ref #
Memo/Note/Descriptions/Remarks/
Allocations/Splits/Period/Comments
Items sold* (If only single item or split reqd)
Rate* (If only single item or split reqd)
SubTotal
GST/HST/Sales Tax
TOTAL
Due Date
QB Account#
Approved By?
Pmt Method
Pmt Date
Pmt/Chq Ref #
Inv#s Covered in that pmt
Total Amt paid
Discounts availed
past Credits used
Late pmt interest/Fees/Charges
Open Balance as on today

QuickBooks Desktop and QuickBooks Online don't have a single report that shows all of those columns. As a workaround, you can run multiple customized reports, export them to Excel, and consolidate the data.

Here's how:

For QuickBooks Desktop:

  1. Go to Reports, select Custom Reports, and then choose Transaction Detail.
  2. Click Customize.
  3. On the Display tab, check the columns Type, Date, Num, Name, Memo, Due Date, Account, Rate, Item, Split, and Amount.
  4. In the Filters tab, set Account to Accounts Payable.
  5. Hit OK.
  6. Locate the Excel dropdown, and then choose Create New Worksheet or Update Existing Worksheet.
  7. If you see a message that says your report has too many columns, hit Advanced, uncheck the Space between columns checkbox, and then click OK.
  8. When you’re done, select OK.

For the vendor BN/Tax ID, run the Vendor Contact List report and add the Tax ID column. For the payment method, date, and cheque number, run Check Detail. For the invoices covered, total paid, discounts, and credits used, run Vendor Balance Detail. For the open balance as of today, run A/P Aging Detail. Export each of these reports to Excel and combine them in one worksheet.

For QuickBooks Online:

  1. Go to Reports and search for Transaction Detail by Account.
  2. Click Customize. Under Filter, set Distribution Account to Accounts Payable.
  3. Under Rows/Columns, check for the columns Date, Transaction Type, Num, Name, Memo/Description, Due Date, Split, Item, Rate, Tax, and Amount.
  4. Select Run report, and then hit Save customization.
  5. Depending on your view, select the Export icon in Classic view, or select Export/Print in the new enhanced experience, and then select Export to Excel.

For the vendor Business Number, run Vendor Contact List and add the Business ID No. column. For the payment method, date, and cheque number, run Check Detail. For the invoices covered, total paid, discounts, and credits used, run Vendor Balance Detail and open the bill payment. For the open balance as of today, run Unpaid Bills or A/P Aging Detail. Export each of these reports to Excel and combine them in one worksheet.
