AR Aging Customizing by Product/Service

In QB Online, is there a way to create a custom report for an AR Aging Detail Report, that breaks down what is owed by product/service? Trying to track aging retention separately, which we have broken out into a separate current asset account which is the standard workaround for tracking customer retention. I know we could run a separate balance sheet, but we’d really like to see retention aging in the same report even if there’s a custom report or excel integration workaround.

Currently, creating an A/R Aging Detail report broken down by product/service is unavailable in QuickBooks Online. The standard aging report only tracks overall invoice totals in Accounts Receivable. Mapping your retention to a separate Current Asset account removes those funds from A/R, so they can't show up in the aging report.

 

However, as you're open to Excel, you can combine two reports to get a complete picture of both your Aged A/R and Aged Retention. Here's how:

 

  1. Navigate to the Reports menu, search for Accounts Receivable Aging Detail, and open the report.
  2. Filter the report period and click the Export icon. Then, choose Export to Excel.
  3. Next, search and open the Transaction Detail by Account report.
  4. Click Customize, filter it by Account type, and pick the Other Current Asset account in Value section.
  5. Select Customize, filter the report by Account Type and choose Other Current Asset used for retention.
  6. Set A/R Paid in the Filter by section and Unpaid for the value.
  7. Customize your columns and include the Line created date and Line due date.
  8. Customize your columns to include the Create Date and Due Date.
  9. Download a copy of this report to Excel as well.
  10. Once done, drop the retention data onto a second tab in your first workbook to view them side-by-side or analyze them using a Pivot Table.

 

If you're using QuickBooks Online Advanced, you can use Spreadsheet Sync to pull live data for open invoices and your retention account into Excel, then build a Pivot Table to calculate days past due for both.

Thank you. I’m not seeing a way to customize and specifically filter for only one current asset account (retanaige). And when I filter all other current assets, then AR paid equals unpaid the report shows nothing.  Also, would you be able to explain the process for using Spreadsheet Sync?

When customizing the report, select the specific retainage Current Asset account instead of selecting all Current Asset accounts.
 

If the report is showing no results when filtering by A/R Paid = Unpaid, try removing that filter. Since your retainage is being tracked in a separate Current Asset account and not in Accounts Receivable, it may not return any transactions under that filter.
 

As for Spreadsheet Sync, you can use it to pull your QuickBooks data into Excel and create a customized analysis.

To get started:
 

  1. Go to Reports, then select Spreadsheet Sync.
  2. Sign in with your QuickBooks account if prompted.
  3. Open Excel and connect Spreadsheet Sync.
  4. Once the data is pulled into Excel, you can combine your invoice aging information with your retainage account data and customize the view based on your reporting needs.
