To track classes in your company, turn on class tracking in your preferences and assign a class to each transaction. Any transaction without a class shows as Unclassified on your reports.

Here's how:

  1. Navigate to File in the upper-left menu.
  2. Select Switch to Single-user Mode.
  3. Return to the top-left menu and choose Edit.
  4. Then, choose Preferences and Accounting.
  5. Select the Company Preferences tab.
  6. Check the box for Use class tracking for transactions. You can also check Prompt to assign classes, which reminds you when a class is missing.
  7. Click Ok.

If you need to create a new class, follow these steps:

  1. Go to List on the top navigation bar.
  2. Select Class List.
  3. Click the dropdown next to Class and choose New.
  4. Enter your class name in the Class Name field.
  5. Then, hit Ok and close the tab.

To add a class to an existing transaction, do the following:

  1. Go to Customer in the menu above.
  2. Select Customer Center.
  3. Open the customer's transactions for the customer.
  4. In the Class column, select your desired class.
  5. Click Save & Close. Click Yes if QuickBooks asks you to confirm the change.

To run the class report:

  1. Go to Reports in the menu above, then Company & Financial.
  2. Select Profit & Loss by Class.
  3. Set the Dates (for example, This Month).
  4. Click Refresh in the upper right corner. Each class shows in its own column, and transactions without a class show under Unclassified.

After saving the setting, go back to File and Switch to Multi-user Mode for your team to access the file. Note that alterations to company-wide settings, such as class tracking, influence all forms and reports, and only one person can make these changes at a time.

Hope this helps streamline your workflow. If you have any other questions, feel free to reach out. Have a wonderful day.
