Question

Filter client list for inactive accounts

Hi All ~

Here's what I'm trying to do: I want to generate a  listing of clients that have had NO activity in the last three years. So I want to see a listing of customers with NO activity since 1/1/23. I tried using the filter option in QBO, but no luck.

Any help would be appreciated.

TY!

Hello, Januaria. While a direct built-in report to show customers without activity since a specified date is unavailable in QuickBooks Online, I’d like to share a workaround that you may consider.

I recommend starting with the Customer Contact List report and then cross‑referencing it with a Transaction List by Customer report filtered from January 1, 2023. Any customers that appear on the Customer Contact List but do not appear on the Transaction List will be those with no activity during that period.

You can also export both reports to a spreadsheet, then use simple formulas or filters to combine the data into a single list of clients who have had no activity in the last three years. This makes it easier to review, save, or share as needed.

I’ll ensure this conversation remains open for any future updates and discussions.

Firstly, TY for your very prompt response.

Secondly, this work around is unacceptably convoluted and time-consuming. Once again QBO never fails to disappoint.

Fortunately, I'm not the one that needs to create this report, my poor junior accountant will probably have to manually go through all our clients and just inactive those w/o activity since 2022.
