I am looking to find out how to post my quarterly HST to quickbooks pro 2024.  I need to post amounts owing and then amounts paid.  Thanks.

To record your quarterly HST in QuickBooks Desktop Pro 2024, you can use the built-in sales tax workflow.

When you are ready to record the HST owing:

  1. Go to the Sales Tax menu and select File Sales Tax.
  2. Select the appropriate tax agency and review the sales tax return details.
  3. Confirm the amount owing and continue with the filing process.
  4. If you choose to pay the amount through QuickBooks, QuickBooks will create the sales tax bill, which you can then pay through the payment workflow.

If you are trying to record a payment that was already made outside of QuickBooks or enter a prior HST balance, the steps may differ depending on how the HST was originally recorded. In that case, it may be best to confirm the correct method with your accountant.

For more detailed guidance on managing sales tax in QuickBooks Desktop, you can refer to this article: Pay sales tax in QuickBooks.

Hello    Yes I am trying to post  prior hst balances and payments.    The accountant does the hst filings for us, but has not been posted in quick books

You can use Adjust Sales Tax Due to record what is owed, and then Pay Sales Tax to record the payment when posting your HST balances and payments in QuickBooks Desktop Pro 2024. This bypasses the automatic filing calculation since your accountant already handled the filing outside QuickBooks.

Here's how to do it:

Post the amount owing:

  1. Go to Vendors, click Sales Tax, then choose Adjust Sales Tax Due.
  2. Select the tax agency, the date, and an adjustment account (consult your accountant to confirm the correct account, as this affects your books).
  3. Enter the amount, choose whether it increases or decreases what's owed, then click OK to finish.

Post the payment:

  1. Go to Vendors, click Sales Tax, then choose Pay Sales Tax.
  2. Select the adjustment you made earlier, choose the payment account and date, then click OK to finish.

If you are catching up on multiple periods, enter a separate adjustment for each one to keep your records clean and easy to trace.

You can visit the Set up sales tax in QuickBooks Desktop article if you do not see the Sales Tax menu under Vendors.
