Good day, dougpeel!

Adding a VAT number to your invoices in QuickBooks Online is pretty easy.

You'll need to enter your VAT registration number first once you set up your VAT. This should, thereafter, populate automatically on the invoices. To setup your VAT, please follow these steps:

  1. From the left navigation bar, choose Taxes.
  2. Click the Edit VAT drop down then click Edit Settings.
  3. Make necessary changes then enter the VAT registration number.
  4. Click Save.

If you'll set up your VAT for the first time, please see this link for the detailed instructions: Set up and edit VAT settings, VAT codes and VAT rates (UK only)

You can also visit this link for more information about getting started with VAT: VAT getting started

With regard to your invoices, you can edit which details appear on it. Let me show you how:

  1. Go to the Gear icon.
  2. Under the Your Company heading , choose Custom Form Styles.
  3. You will then see a standard template which is for your invoices.
  4. Select the blue hyperlink that shows as Edit
  5. Click on the Content tab and click on the bottom half of your invoice on the right hand side f the screen. Here, it will allow you to add additional details int o the box and a footer.
  6. Click Done.

Here's a link for more information about Customising your invoices: Why Should I Customize My Invoices?

I've also attached screenshots for your reference.

Keep me posted if you have any other questions or clarifications. I'm ready to help. Have a  nice day!

Hello,

I tried to do the same by following the same steps. I went to Taxes > Edit VAT > Edit Settings.

I did not find a field for VAT registration number. The only thing i found is Business ID No. I tried to place my VAT number in this field instead but it doesn't show in the invoice

Hello there, A Kayou.

Thanks for getting back and providing some additional details of your concern. I'm here to continue to help you in adding VAT to your invoices.

You can add the VAT number by updating your tax information on your Customer Information window. I'd be happy to show you the steps below.

Here's how:

  1. Go to Sales.
  2. Click Customers.
  3. Choose a customer and click Edit.
  4. Under the Tax info tab, enter your account number.
  5. Click Save.

Now you'll be able to see the VAT number when you create an invoice for that specific customer.

I'm also adding this link to know more about customising your invoices: Customise My Invoices.

Let me know if you have other questions aside from adding VAT number. I'm always happy to help you.

Hello,

I have updated the information re Vat number in the Taxes section and the VAT number still shows as XXXXXX.

I am sorry but it is very irritating and I cannot issue an invoice.

It sounds like you're having challenges with the result after updating your Vat info, micharbuk.

To confirm, where did you preview the invoice? Is it from the actual invoice or the template?

Please note that once the VAT code is selected on the actual invoice, then the VAT number should show up. However, if it's from your invoice template, it will only show XXXXX by default.

Let's try some troubleshooting steps to fix this. You can update your VAT number using an incognito or private browser. A browser that has full of frequently-accessed page resources can sometimes cause QuickBooks Online (QBO) to act strange. You can refer to these shortcut keys:

  • Press Ctrl + Shift + P for Internet Explorer or Firefox.
  • Press Ctrl Shift N for Chrome.
  • Hold down Command Shift N for Safari.

If the VAT number displays on your invoice, go back to your main browser and clear its cache to speed up the loading process of the QBO website and for the system to start fresh.

Otherwise, switch to another supported browser as an alternative.

If the same issue continues, I'd suggest contacting our Phone Support to have them investigate this further.

Furthermore, I'm adding these resources to learn more about the VAT settings:
