Accessing Historical Data

My company is switching over from Quickbooks Desktop to a new ERP solution, and we have a ton of historical data (~20 years worth) that we are not going to be transferring over due to cost and complexity. Will we be able to still access our Quickbooks data in a read-only mode, or would we have to pay for a subscription to access this historical data? We are currently using Quickbooks Enterprise Solutions: Retail 22.0.

Welcome to the Community space, @jstewart. We’re sorry to see you go but I'd be pleased to share details on what data you can still access and supports that aren't available in switching to other ERP solutions.

 

Yes. You still have access to your historical data from QuickBooks Desktop to the new ERP solution. The files are still intact even if the subscription is already expired.

 

However, your access to QuickBooks Desktop Payroll, Desktop Payments, live technical support, Online Backup, Online Banking, and other services through QuickBooks Desktop software will be discontinued. This also means you won't receive critical security updates protecting your data.

Hello,

 

I work for an organization that uses QB Online.  Couple of years ago someone was hired and that person ended up deleting records of payments, invoices, and in some cases deposit slips. 

 

Is there a way for me to recover a copy of the General Ledger (GL) as of certain points in time by providing the dates for which I want full copies of the GL?

No, I do not have QB Desktop.  I only have QB online version.  The Audit Logs show that the records were deleted.  The issue is that not only were the payment/invoice records deleted, also the deposit slips that tied such payments were deleted. 


I understand the importance of recovering a copy of the General Ledger (GL) in QuickBooks Online (QBO).  Moaied . I'm here to share insight about this. 

 

If you're using a QBO Advanced, you have the option to restore the deleted transactions if you previously backup the data. However, if you use the regular QBO versions(Simple Start, Essentials, or Plus), you can use the Audit Log feature to review the deleted transactions and recreate them.

 

1. Navigate to the Gear icon. 

2. Choose Audit Log. In the Filter dropdown menu, pick the relevant user, date, and event(s).

3.  Click Apply

4. Find the deleted transaction. 

5. Click View under the History column.

6. All the information needed for the transaction can be found under the Event column.

7. Using the information from the Audit log, you can re-enter the transaction with its original transaction date.
