Sharing quickbooks on multiple computers

Hi Community,

 

I hope everyone is safe during these crazy Covid-19 days.

 

My work (small company...no I.T. dept) uses Quickbooks basically to charge tuition and keep track of it. My boss is the one who has it on her computer desktop. We are currently closed due to the pandemic and my boss has asked me to do the quickbooks entries for her going forward until she can again. Here is my problem...I have never used quickbooks before. I have seen how she enters charges and collects payments. She said she can add me as a user but that is all she knows.

 

So, do I need to purchase a desktop version? I do not have remote access to her computer. Not even sure how or where to start.

Allow me to share some information about how you can access QuickBooks Desktop on your computer. You can access and download the same QuickBooks version that your boss used, provided by the license and product number. 

 

I'll guide you how:

  1. To download, go to this website: https://downloads.quickbooks.com/app/qbdt/products.
  2. Select your CountryProduct, and the Version
  3. Click Search.
  4. Hit the Download button. 
  5. When finished, click the .exe file and proceed to install the software.
  6. Follow the on-screen instructions and you're done.

To access the company file, you'll need to restore a backup copy from your boss.

Which QuickBooks edition and version do you have? e.q QuickBooks 2020 Premier edition

How many user license do you have now?

You may ask your boss to hit f2 key or CTRL+1 and a Product Information window will appear.

We are trying to do pretty much the same thing, except our computers are in the same building (different rooms though).  My boss has the Quickbooks Desktop Premier and she just purchased another license for my computer.  Both computers are hard wired to the  internet in the building, but we do not have a server and the two computers are not connected.  We tried calling Intuit customer service.  They had us connect to a program where they could see the computers.  All they told us was that our computers aren't connected (which we knew already) and said that the only thing we could do would be to connect them physically.  That is not practical as it is just too far to connect with wires.  They couldn't help us figure out how else we could get them connected.  Do we have to get a server?  or maybe a hub? (We don't know much about those things or how they work). 

 

I did a chat and someone after that who said we didn't have to have a server or a hub -that we just use my boss's  computer as the "server computer", but then she changed and said that we had to connect physically.  She could never answer my question as to what other ways there were to connect.  no way that everyone that has a 2nd license has to connect to the other computer with wires.   Can you please help us figure out what we need to make this work?  The company is too small for the Enterprise solution with the hosting.  What other options do we have?  We asked when we called about what we needed to be able to use this on my computer and they sold us this 2nd license but they didn't ask if we had a server or if we were connected somehow.  I'm so confused!

To set up a multi-user network, a server or a host computer is required to store your company file, which is accessed by the working stations.

I know that you're unable to do a physical connection or cloud hosting, but these are the only ways to be able to work in a multi-user environment. If you'd like, you can consider using QuickBooks Online instead, where both you and your boss can access your company as long as you have internet.

How did your boss purchase the license? Did one purchase an addtional seat to the exisiting license or else? In our experience, the license should be have the same product code and installation code to run the multi-user mode. Hit f2 key or CTRL+1 to get your license info.

 

Then you may have 2 options to deploy it:

1. Setup a private cloud. One of the computers will be assigned as the host and the other one will connect the host by internet. It costs $25/month for your case.

2. Put your license and data files on an authorized QB cloud hosting. It costs around $66/month for 2 user access at the same time.
