I need to edit some transactions that have already been reconciled. How do I do this without undoing the reconcilation?

Several transactions were put in the wrong category. I need to fix that, but the transactions have already been reconciled. My accountant says if I undo them to edit it breaks her reconcilation. How do I edit these transactions?

I've got you covered, @accountant30.

 

Changing anything but the amount and the account on any given transaction won't change its reconciliation status. You'll just have to directly edit the reconciled transaction and change its category. Here's how:

 

  1. Click Accounting from the left menu, then select Chart of Accounts.
  2. Find the bank account from the list and click View register.1.PNG
  3. Locate and select the transaction you want to change, then hit Edit.2.PNG
  4. Change the category or description, then click Save
  5. Click Yes to confirm the changes.
  6. Repeat the steps for the rest of the transactions you want to edit.

I cannot find the complete checkbook register.  The transactions are gone once I reconcile them. They do not show when I follow the steps described above.

Hello, Jen. 

 

I can share a couple of reasons why you're unable to see your reconciled transactions, and help you fix this. 

 

The sorting and filter options are likely preventing you from seeing those reconciled transactions. After reconciling, they will always stay in the register. 

 

In this case, click the columns to re-sort your register view. I would recommend sorting out the "box column" to sort your transactions from reconciled to unreconciled (and vice versa).

You'll also want to check your filter options and check to see if they only let you see the unreconciled transactions. Here's how: 

 

  1. In your checkbook register, click the funnel icon. 
  2. Ensure the Reconcile status is set to All or Reconciled 
  3. Set the Date and other filter options to your preferred values. 
  4. Click Apply

After seeing those reconciled transactions, you can start editing them. Though, I'd still suggest reaching out to an accountant before doing this. They'll ensure your balances are correct on the next reconciliation period.

Does anyone know how I can do the same sort of thing but change a product on an invoice that has been reconciled? My customer bought 2 products for 2 different prices, but the invoices have swapped the products over for some reason (probably a manual accident when changing the price). Is there a way to change the product name but keep the amount to be the same?

I've got your back in this query, @lisaspencer1. I’d be glad to assist you with changing the product and service of the invoice.

 

You can manually undo the reconciled transaction and edit the product and services of your invoice. Before doing so, I'd highly suggest consulting your accountant to ensure that your books will be accurate.

 

Here's how:

 

  1. Click Accounting from the left menu, then select Chart of Accounts.
  2. Select the appropriate bank account and click View register on the Action column.
  3.  Identify the transaction to edit.
  4. In the reconcile status column (indicated by a checkmark), repeatedly click the top line of the transaction to change the status, then Save.
  • - Cleared.
  • Blank - Not cleared or reconciled.

 

You can follow the same steps above for any transactions you want to edit the product and services since the reconciled status will be removed.

 

Once done, we can go back to your bank register and change its status to Reconciled (R) manually. For more detailed information about undoing a reconciliation, you can read this article for your reference: How to Unreconcile a Transaction or Undo a Reconciliation.

I have a bank deposit transaction which is already reconciled. I am just adding attachment to this transaction. No changes to category, account or amount of transaction. Do I have to cancel reconciliation for this matter or I can just add attachment and save it?

Yes, you can just add the attachment and save it, @Agali.

 

Adding an attachment to a reconciled transaction won't affect your past reconciliations. You can also make other changes, but you'll have to be careful. These can unbalance your accounts and other reconciliations. It also affects the beginning balance of your next reconciliation. Make sure to review the previous one before doing so.

 

Additionally, if you reconciled a transaction by mistake, you have the option to unreconcile it.

Let's perform some basic troubleshooting to fix it. Let's start with logging into your account through a private browser to isolate web issues. Use these keyboard shortcut keys below:

 

  • Google Chrome: press Ctrl + Shift + N 
  • Mozilla Firefox: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

 

If you can see the transactions, go back to your regular browser and clear its cache to refresh the program.

 

If the issue persists, I'd recommend using a supported, up-to-date browser.

Same problem here, I have one transaction that's supposed to be cleared out when Feb. 2021 reconciliation. (Jan. 2022 today)

But it will take a lot of time if I undo all 8 months reconciliation. 

 

And I'm using 2022 QB Desktop. is there any way to clear out that transaction as cleared on Feb. 2021?

I can help you in clearing the transactions as cleared as February 2021 in QuickBooks Online. 

 

We can do a mini reconciliation and ensure you know the ending balance from the recent reconciliation. 

 

Here's how:

 

  1. Go to the Banking menu, then choose Reconcile
  2. Choose the bank account with the transactions you need to reconcile.
  3. Pick the exact Statement date in the box. 
  4. In the Ending Balance field, enter the balance of your last successful reconciliation. 
  5. Complete the required details and click Continue
  6. Check off the transactions you are fixing and re-reconciling.
  7. You can also click the Modify button on the bottom part to correct the balance. 
  8. Tap Reconcile Now

Hi! On this topic, I receive this reconciliation error whenever I try to print a check that we already paid out: "The transaction you are editing has been reconciled. Saving your changes could put you out of balance the next time you try to reconcile. Are you sure you want to modify it?" Can I assume that as long as I don't change anything and just print the check, I'm not in danger of messing up the reconciliation?

Hi! Whenever I try to print a check we already paid out, I get this error: "The transaction you are editing has been reconciled. Saving your changes could put you out of balance the next time you try to reconcile. Are you sure you want to modify it?" If I'm not making any changes and just printing, is it safe to assume that I'm not going to put myself out of balance? Just making sure since this error message made me a little squirrely. Thanks!

If you're only printing the check and not editing any information on it, then it won't mess up your reconcile.

Best solution. Fix your windows servers. They are overloaded causing all kinds of these issues including syncing issues with web browsers. 99% of the time clearing cache and gong to private browsing to eliminate cache never works. seen this many times. Alternate solution. Provide VPN to log in directly to the Windows servers via RDP.

I need to edit ALL of the transactions for several vendors after reconciling has been completed. How do I go to the VENDOR list, select the vendor and do a batch expense account change for all the vendor transactions? When I do Batch Action of the selected transactions, the category box will not display accounts nor allow entry of new one. Going to the Chart of Accounts and finding several hundred individual transactions is too time consuming.
