Send and Import General Journal Entries

Does anyone know if it is possible to create the General Journal Entry file on a Windows QB Version and have someone with a MAC QB Version import the file? 

I have a restored company file on my Windows Desktop QB version and want to send Journal Entries for the client to import on their MAC Desktop QB version.

To send General Journal Entries from QuickBooks Desktop to your client, you can follow the steps below:

  1. Go to the Accountant menu.
  2. Select Send General Journal Entries.
  3. Either choose from the Dates drop-down or enter the appropriate date in the From and To dates to filter the list of Journal Entries.
  4. Check the box next to the Journal Entries you want to send.
  5. Send the Journal Entries to the recipient:
    • Select Email as Attachment to send the Journal Entries now.
    • Select Save as File to save the Journal Entries as a .QBJ file which can be attached to an email or transferred to portable media.

Once your client receives the file, they can now import this on their QuickBooks Desktop for Mac. I'd be glad to show you the steps below:

  1. Choose File.
  2. Click Import.
  3. Click General Journal Entries.
  4. Select the .qbj file containing the entries you want to import, and click Open.
  5. Click OK to back up your company file.
  6. You can review the entries that were posted, then click OK.

Send and Import General Journal Entries

Thank you very much.  I like being able to send the journal entries to clients and use it all the time, I just wasn't sure if it would work between to two different operating systems.  We'll give it a shot!  Thank you for taking time to respond.

Hi to all,

i was reading your text because i want to know if i can upload the format (to help with the several journal entries we have) because the format used is not an excel that you can edit.

 

For example i have not access to QB but i know the entries which have to  be made and i want to know if i can send the entries ( in an excel format for example) to someone that has access to QB and then he/she can upload them directly in the system, but i send them in advance. This can be made?

Thanks for stopping by this afternoon, I don't see any reason that you can't provide the excel file to the person that has access to your QuickBooks account and have them upload it in the system. I did notice however that this is a QuickBooks for Mac thread, so if you're using a Mac version, you'll want to make sure you have the correct file extensions on the file. Below I'm attaching a list with all the file extensions supported with our product.

ummm then i need the format to upload a file into the QB sytem, you know the excel.... because i think QB is not going to recognize any format. In the case of journal entries, do you have a sample file to upload?

The file extension for Journal Entries are .QBJ. If you're trying to import journal entries into your account, you can have your accountant send you a General Journal Entries file with a .qbj extension. From there you'll be able to have your person upload them into your QuickBooks account.

Accountant Toolbox is only available in Premier Accountant and Enterprise Accountant.

 

You are able to export and import transaction data by IIF

I follow that instruction and I can only export lists as IIF from File->Utilities->Lists to IIF Files

 

But I need to export General Journal entries. Is that possible without using a third party software?

Let me share details about exporting general journal entries in QuickBooks Desktop (QBDT) Premier 2020, @zafersh. This way, you'll be able to determine how to get the data you need and effectively manage your transactions.

 

Yes, you're correct. The General Journal isn't available on the list of data that can be exported using the IIF file using QBDT Premier 2020. You can only export the data listed in the Export window (i.e. Chart of Accounts, Customer/Vendor/Employee/Class List). However, it's still possible to acquire the information you need by exporting the Journal report to an Excel file from the Reports menu. Here's how:

  1. Go to the Report menu.
  2. Select Accountant & Taxes, then choose Journal.
  3. Click the Customize Report button to focus on the info you need.
  4. Select the Excel button.
  5. Choose either Create New Worksheet or Update Existing Worksheet.

 

I've attached screenshots below that show the last three steps.

 

The QBDT program provides different reports that cater to your business needs. For the complete list of available reports, kindly check out this article: Understand reports. It also contains details about how QuickBooks generates one.

For QuickBooks Desktop Accountant, there's no need to use third-party software. Allow me to share some details about it.

 

Accountants who use QuickBooks Desktop Accountant have the option to create a journal entry and send a copy to their clients. Then, their clients just need to import it to flow the changes into their file. You can follow the detailed steps here: Use journal entries to adjust your client’s books.
