Accounts Receivable by Class

Is there a way to run the A/R Aging by Class?  I am using QB online for Contractors.

Currently, such an option to run the A/R Aging by Class report is not available in QBO yet.
The workaround is to run the Account Receivable transaction report from the Balance Sheet (Run the Balance Sheet report and click the Account Receivable balance amount link). You can Group this report by Class. You can also customize and add a Class column to the report. But it will in AR detail format, not AR Aging format. See screenshot below for reference.

Thanks for this response.  I cannot figure out why "class" isn't available in my group by menu.  Can you advise?  I assign classes in AR and AP.  Thanks!

The information here will help you customize that transaction report like a pro. The Class option isn't available in the Group by menu until the column has been added to the report. I'll guide you through doing this below:

 

Add Class to the A/R Transaction Report

  1. From QuickBooks Online, navigate to the Reports tab. Select Balance Sheet from the Business overview section.
  2. On the line for Accounts Receivable, click the amount. Inside the Transaction Report, set your desired date range.
  3. Click the tiny Gear icon (⚙) in the top-right of the report, select (▼) Show more and check the box for Class.
  4. Now the Group by drop-down will display Class as an option, allowing you to further organize the report.

Hi:

 

I am using Quickbooks Premier.  Is there a way to run accounts receivable by class using that version?

 

Basically, I want to be able to run a GL detail for the A/R account and see the transactions by class.

It's nice to have you in the Community. I'd be happy to help walk you through creating accounts receivable by class report in QuickBooks Desktop Premiere.

 

You can run and customize the Custom Transaction Detail Report to get the information you need. Let me show you how:

  1. From the top menu, select Reports.
  2. Choose Custom Reports then select Transaction Detail.
  3. At the top left, click Customize Report
  4. From the Display tab, click the Total by drop-down and select Class.
  5. Click the Filters tab.
  6. Under FILTER, select Account.
  7. Click the drop-down and select Multiple accounts.
  8. Mark Accounts Receivable then click OK.
  9. Under FILTER, select Paid Status.
  10. Click the drop-down and select Open then click OK.

Accounts Receivable by Class

Can you customize this report to show the invoices that get paid in this time period, but were from an earlier month? (ie. the time period is June 1-June 30, the invoice was dated April 30 but not paid until June 15.)  Ideally I would like to find a report that shows $x paid during a specific time period per class and $x in invoices still due and owing per class.  Is that possible?   Thank you.

The option to customize the Custom Transaction Detail report to show invoices that were paid for a specific period is currently unavailable. As a workaround, you can customize it to show which invoices were paid and unpaid.

 

Here's how:

 

1. Click the Customize Report option at the upper left.
2. On the Display tab, select Paid on the Columns section.

3. Now go to the Filters tab.
4. Select Paid Status on the Choose Filter section, then choose Either.
5. Hit OK.

Accounts Receivable by Class

Thank you for getting back to me.  Is there any way create a report that shows total invoices paid per class for a specific period of time?  Including those invoices that might have been paid during the specified time, but were dated prior to the specified period?  Your assistance is most appreciated!

Let's pull up the Transaction List by Customer report to show the total invoices paid per class for a specific period of time. From there, you can then filter the report to see the information you need.

 

Here's how:

  1. Go to the Reports menu.
  2. Select Customers & Receivables, then Transaction List by Customer.
  3. You can then follow the same steps provided by my colleague @FritzF on how to customize the report.
  4. To filter the date, simply select the desired date from the Dates drop-down.

This does not help as it pull all the paid invoices as well.

You can filter the Paid Status by Open to see hide paid invoices. To do so, the steps below will guide you through on how to accomplish this.

  1. Go to the Reports menu.
  2. Select Customers & Receivables, then Transaction List by Customer.
  3. Click Customize, then go to the Filter tab.
  4. Highlight Paid Status, then choose Open.
  5. Click OK to save the changes.

You can save this report so you won't have to go through the same customization again. Just click the Memorize button and follow on-screen instructions. Check out the Create, access, and modify memorized reports link for more details.

I can show you how to customize your report, @SuperStar777.

 

We can include certain columns and filters of your Sales by Customer Detail report to see the list of your unpaid invoices  by class.

  1. Go to Reports.
  2. Select Sales by Customer Detail.
  3. Click Customize.
  4. Under Rows/Columns, select Class and A/R Paid.
  5. On the Filter menu, select Transaction Type, Class, and A/R Paid.
  6. For Transaction Type, select Invoices.
  7. On the A/R Paid field, select Unpaid.
  8. Select the appropriate class category.
  9. Click Run report.

I'm adding a couple of articles for more ideas about saving your report after customizing it.

Right now, such an option to run the A/R Aging by Class report in unavailable in QuickBooks Online. As a workaround, I suggest running the Balance Sheet report and filter to show the information you need.

 

Here's how:

 

  1. On the left navigation bar, click Reports.
  2. Under Business overview, select Balance Sheet
  3. Choose the amount next to Total Accounts Receivable
  4. Filter the date range.
  5. Press the drop-down arrow next to Group by, then select Class
  6. Click Run report.

You can also customize and add a Class column to the report. But it will be in AR detail format, not Aging format. See screenshot below for reference:

Let me provide some information as to why line item is showing as unspecified when running a report, corneroffice.

 

When you see amounts in the Unspecified column on your reports, these are line items or transactions which doesn't have class or payee assignments. In other words, QuickBooks is unable to identify the correct classes for some transactions. QuickBooks Online (QBO) uses information from the headers or details depending on the type of report you run. The balance sheet uses data from headers, while profit and loss uses data from the details.

If you assign classes and locations to your transactions, you can customize your balance sheet and profit and loss to show data for a specific division.

  • Classes are only linked to details.
  • Locations are linked to both headers and details.

 

Also, This unspecified category will only show when you run a report by Class or Location. You'll want to drill down the report to see which transactions that don't have a class. You'll also want to filter the report to make sure it's not showing the Unspecified column, Todo this, follow the steps below:

  1. Go to Reports, then search for the Balance Sheet report. 
  2. Select the correct Report Period.
  3. Click Customize.
  4. Click Filter, then tick the Class box.
  5. Hit Run report.

Accounts Receivable by Class

Is it possible yet to run an accounts receivable aging by class in Quickbooks online?  I see that this question has been coming up since 2018 in this thread.  Seems ridiculous that the desktop version of quickbooks has this capability and we can't do it in Quickbooks online.  

 

I'm not interested in hearing what the "workaround" is for something that this software should just be able to do.

QuickBooks Desktop report options may differ slightly from the ones in QuickBooks Online. Both versions' packages do not share the same database, hence, features and preferences might not always be the same. Alternatively, we can run a customized Transaction Detail by Account report to show the Accounts Receivable by class. Just modify the Rows/Columns by class to show the Account Receivable transactions. Here's how: 

 

  1. Go to the Reports menu.
  2. Enter Transaction Detail by Account in the search field. 
  3. Click the Customize icon on the report and go to the Filter section.
  4. Choose the name on the Customer drop-down or Invoice for the Transaction Type.
  5. Mark the A/R Paid, Account, and Class filters.
  6. Update the Report period and the Accounting method.
  7. Lastly, click on Run report.
  8. You can use the Save customization option, so you don't need to redo it when pulling up the same report. Saved customizations are then moved to the Custom reports section.

     

You can save this report so you won't have to go through the same customization again. Just click the Memorize button and follow the on-screen instructions. Check out the Create, access, and modify memorized reports link for more details. Thanks for the info, Your tips helps a bit, however if the invoice is having more than 1 line, this report will repeat the invoice number. I am looking for AR report without duplicating the invoice number.

I recognize how relevant to you and your business to have a report not showing a duplicate invoice number. Currently, this option is unavailable in QuickBooks Online.

 

In the meantime, we can export a report to an Excel file. From there, you can manipulate the statement to show only one invoice number. Let me show you how:

 

  1. Find and run the report.
  2. Choose the Export icon.
  3. Click Export to Excel.

How does one make a request for a product enhancement?  It is still ridiculous that this software can’t do something as simple as an A/R aging by class.  I understand that Intuit has no motivation to make improvements here because there is no meaningful competition in this area…but come on.  

Thank you posting workarounds, but this isn’t a satisfactory solution.   I want to run a report that gives me the information I need.   I don’t want to have to run a different report, dump it to excel and then manipulate it to get the information I want.  


the fact that this thread is more than four years old and there is no solution still I guess tells me all I need to know about how much Intuit cares about it’s customers.

Accounts Receivable by Class

I can generate an A/R report and add Class as a column, but the Class included in Invoices won't appear in the report.  My Invoices "hide" the class, could this be the issue and if so, how can 'unhide' them to see if that is the issue?
