I’m here to share some information about adding a phone number on your customer’s invoice in QuickBooks Online (QBO).
Putting a phone number on customer’s invoice can be possible by adding a field solely for this information. However, you have to enter it manually each time.
Here’s how: 1. Go to the Plus (+) icon and select Invoice. 2. Select your customer. 3. Click the small Gear icon on the upper right corner of the screen. 4. Under Fields, click the + Add another field link. 5. Enter Phone Number on the box.
How do I change the template for all 500 of my customers? Starting now, they all need to print with their customer number on every invoice. You are not saying that I have to go into EVERY one of them and change their template ???
Allow me to step in and add a few insights about adding the customer phone number to their invoices.
The steps provided by my peers KhimG and HoneyLynn_G should help you add the phone number to your sales transactions. However, the option to do a batch edit is currently unavailable so you'll need to update the information one at a time.
Being able to have a Batch action feature when editing customer information is a great feature to add in QuickBooks. While this option is not yet available, I'd recommend sending a product request to our developers. Doing this will let them know what features would help a business like yours run even better, and they will consider that in a future update.
Here's how to send your request:
Click the Gear icon.
Select Feedback.
Enter your feedback and suggestions.
Click Next.
Select Feedback for the Category.
Click Send message.
I'll do the same thing in my end to reinforce your request. You may also track your suggestion through this website: https://feedback.qbo.intuit.com/
That should send your valuable suggestion directly to our engineers who considers feedback for QuickBooks enhancements. I will also do the same thing in my end to reinforce your request.
If you need additional assistance down the road, please feel free to reach out to me anytime. I'll be happy to help however possible. Have a great day!
Hi, So again, to confirm, there is no way to edit the Invoice Template in QBO, to include the Customer Name? (Unlike with Desktop, where you can add almost any field to the invoice template and all invoices will then include that field.) No matter which option I use, I have to go into each of my 500 customers one by one by one and update their individual invoice template or go into each one by one by one and move their Customer Name to another place that does print on the invoice. If that is true, then my doubts about the online version are completely confirmed. Someone please tell me that this is not true. Why would you not be able to add the customer name to the invoice template for all future invoices?
Hello, QBO team -- any update on this functionality being added? I also desperately need a simple "show phone number" checkbox rather than a clunky workaround. Thanks.
As of this time, the ability to automatically include the customers phone number on the invoice is not yet available. What you can do is to add a custom field in your invoices and manually enter the customer's phone number on it.
Go to the Gear Icon.
Choose the Custom Form Styles.
Locate the invoice template you want to modify.
From the Actions column, click the Edit link.
Select the Content tab.
Click the Pencil Icon on the first part of the sample invoice template.
Pick the Custom Field link.
Mark the first box and enter its name.
Click Done.

Hello. I am having an issue adding client telephone numbers to appear on the invoice (so drivers can call before delivery). I can add customized data field, no problem. I cannot seem to get the telephone numbers to map to this field though, despite several attempt to rename the field according to the different ways I find it in the Cient details or in Client Reports.
I was going to export, then import the entire client data base again to re-map the telphone number, but when I exported from Client List, or even a Customized Client Report, other vital data fields would disappear.
In QuickBooks Online (QBO) you are allowed to add up to three custom fields on the invoice. Each data field can be customized based on your preference and can be displayed in your invoice.
You'll want to make sure to check the box for the Custom field added so it reflects on the invoice. Below is a screenshot for your better view:
However, if it does the same thing, we'll need to perform some basic browser troubleshooting to isolate this behavior.
Let's start by log into your QBO account using an incognito or private browser. Since this doesn't store data in the cache, it the best place to isolate browser issues.
If you want to review the invoices you made, run the Invoice List. Pull this up by going to the Reports menu at the left pane then type Invoice List on the search bar.

Why doesn't the customers phone number print on the printed invoice? Seems like a must have feature. I should be able to get my customers contact information direct from the top of the invoice to call them.
Thanks for joining this conversation, @travsirocz. I can provide steps that will surely help you include your customer's phone number when printing the invoice form.
In QuickBooks Online (QBO), when you create a custom field you also have to enable the Print on form option so it will appear on the printed sales form. Here's how to do it:
Log in to your QBO company and select the Gear icon.
Then, click the All Lists option.
Next, select Custom fields.
Locate the custom field for your customer's phone number and click the Edit button.
From the All Sales forms section, turn on the Print on form option.
Once done, click Save.
Then, let's check if the custom field for your customer's phone number will appear on the printed invoice. Please refer to these steps:
Select the +New button and choose Invoice.
Enter the necessary details.
Click the Customize option to choose the correct invoice template.
Once done, select the Print or Preview button.
Click Print or Preview. From there, check if you can see the custom field for your customer's phone number.
You can always add a reply below if you have an additional concern about printing an invoice with the customer's phone number. I'd be glad to assist you further. Have a good one.
Hey there has been a change to the system: we can no longer add customer phone numbers in the Address field. The address fields have been changed from just an address box with unlimited lines, to an address box #1 with one line, and an address box #2 with one line.
I used to just enter the address with phone number underneath, so that I could immediately see clients phone numbers on invoices and estimates. I can no longer do this. I have to log on to Quickbooks to retrieve their numbers through the system.
WHY IS THERE NO OPTION TO HAVE CUSTOMER PHONE NUMBERS AND EMAIL ADDRESSES ON INVOICES AND ESTIMATES???

What a stupid generic reply - clear cache, suppose you want me to change the fuse in the plug next !
this is you cannot put the customers phone number and or email from the record on to the invoice or and template - i have see you reference the 3 custom fields - which is a fudge because you guys cannot be bothered to listen to customer and provide what they need - this is basic stuff - take any field from the customer account and put in the header of the invoice or delivery note - as to make an invoice for EXPORT this is needed
