Thanks for checking in with us. I'm here to help you fix duplicate invoice numbers in QuickBooks Online (QBO).

 

If it's a duplicate invoice, you'll need to delete it. However, if it's only the invoice number that has duplicate, you have the option to edit the invoice number.

 

Here's how:

  1. Open the invoice.
  2. Scroll down at the bottom and click More.
  3. Choose Delete if its a duplicate invoice.
  4. Edit the Invoice no. if its only a duplicate invoice number.
  5. Click Save.

Let's first locate the duplicate invoice number in QBO. Let me guide you how to get there:

  1. Select Sales from the left menu.
  2. Select the No. column to sort it.
  3. When the Sales populate, it toggles the numbers in ascending and descending order.
  4. Check for duplicates.

To prevent duplicate invoice number in the future, we can customize your Accounts and Settings preference.

 

Here's how:

  1. Click the QuickBooks Gear icon.
  2. Select Account and Settings.
  3. Click the Sales tab.
  4. Click the Sales form content section.
  5. Uncheck the Custom transaction numbers box.
  6. Click Save, then Done.

I have the same issue.  Custom transaction numbers is off but QB still assigning invoice numbers that were used last year.  Please help [email address removed]

I have Custom transaction numbers turned off but QB is assigning invoice #'s used last year.  For example the next invoice # should be #1146 but the system assigned 1111 which was used.  I tried a few other recommendations and the system kept assigning #'s going up from #1111 so #1112 & #1113.  This all started after I had to customize an invoice # by turning on "Custom transaction numbers" so I'm guessing it is still on even though I turned it off??

A possible browser issue might have been auto-assigning invoice numbers even if the feature was already turned off. Let's try a few steps to check if that's causing it. Here's how:

 

Use QBO in a private or incognito browsing session. Follow these keyboard shortcuts depending on the browser that you're using:

 

  • CTRL + Shift + N for Chrome
  • CTRL + SHIFT + P for Mozilla
  • Go to File, then click New Private Window if you're using Safari.

After logging back in, create a sample invoice and check if transaction numbers are no longer populating. If it's not, switch back to the regular browsing session.

Other way of resolving the issue is to temporarily use a different browser while creating invoices to further check if this is a browser-related issue. QBO is compatible with any of these browsers:

 

  • Google Chrome.
  • Mozilla Firefox. 
  • Microsoft Edge.
  • Safari 11 or newer (Mac only).
