If I get QB Online and sync with Square, will Square send QB inventory data?

I keep inventory in Square now, and only use QB Desktop to manage bank accounts and tax information. I would love to integrate, but all of my inventory is within Square. I would love to have it in QB so I can generate better reports. Does the integration with Square and QB Online offer inventory management as well?

The Sync with Square integration does not automatically copy over your inventory list from Square into QB Online.

However, you can setup your QB Online with an identical item list by exporting your list as a csv from Square and importing it into QB Online yourself. Then, the Sync with Square integration will record sales and decrement item counts accordingly in QB so long as the item name and/or SKU in QBO matches what your have in Square.

You can export a spreadsheet from QBO and import via spreadsheet into Square but you’ll have to modify the format of the sheet to Square’s format. Instructions to import/export from Square can be found here:

I exported my Item List from Square and imported it into...

I exported my Item List from Square and imported it into QBO. I used the Square UniqueID (I think they called it Key) as the SKU in QBO since we don't use SKUs, mostly for my own reference. I then imported just two days of Square history to see and the Service/Product in QBO invoice stills uses "Square Item"

I do see the description shows my Item name, but I was hoping with proper imports of new items into QBO, that I could get it match to the actual item. Am I missing a step? The names are identical. I  could add the "SKUs" to the SKU field in Square as well if needed, but my understanding that the name should link it.

What happens when we increase inventory in quickbooks because we purchased more product? Will Square automatically increase the quantities as well?

When you increase the inventory in QuickBooks Online, it doesn't affect Square data. Square only imports your invoices and payments to QuickBooks. However, it doesn't manage your QuickBooks inventory.

Let me share what I know about the CSV file in QuickBooks Desktop.

 

A Comma Separated Values (CSV) file is a plain text file that contains a list of data. These files are often used for exchanging data between different applications. Since CSV files store information in a text-only form, support for saving the file to another format is included in lots of different online services and downloadable programs.

Has anyone been able to solve this problem? As far as I can tell no one seems to be able to and it seems like it should be fairly simple. It is my understanding that the issue is that Square has a tab called Variation while quickbooks does not allow for this and therefore cannot import the data from square invoices to match in quickbooks. When I sell a brand with item name "Hawaii Bee Company" and I sell soap, it only knows that the name is Hawaii Bee Company but is does not allow for the soap to be subtracted from soap inventory only that something sold from that brand. This is a major issue that makes this feature completely incompatible with any importing of inventory data since all retail I know has varying types of the same brand.

I understand that Square has a variation of each item. However, QuickBooks will only receive compatible data when importing inventory data from Square.

 

As mentioned by IntuitTony, you can consider setting up an identical item list by exporting your list as a CSV from Square and manually import it to your QuickBooks. That way, the integration will record sales item accordingly in QuickBooks.

Hi,

I subscribe QB Online with the hope to have a real integration between the 2 software but apparently this is not real. So, for example, if I purchase more products and add the Purchase on QB, I'll need to add manually all the items in Square too?

The integration between QuickBooks Online and Square has its own limitation at the moment, vaneprovin.

 

It's currently a one-way integration which we only receive data from Square. This means you'll need to update the quantity of the product in Square first. QBO will then mirror the information once we receive daily updates from them. 

 

We'll send your feedback directly to our engineers. Updates and product enhancements are often based from feedback and suggestions that are sent to them.

You need to consider using an inventory management app and sync it to QBO for accounting and Square for payment.

Hi @Anonymous 

Thank you so much. I look through it, but I currently have a Wix website, and they don't support this integration with Wix, only with other platforms.

To pay that amount of fees they charge it would be great to integrate with my website too. I'll consider changing my website to another platform.

In this case, everytime I change my inventory on Square, it will change the quantities automatically on QB through the daily updates? 

Thanks for sending my feedback to the engineers, I think that would be a great and necessary improvement in the software.

Our own site is also build on Wix and we are aware of its limitation.  If you are using WixStore, you may explore to sync it with other ecommerce platform (e.q Shopify, Woocommerce, Magento, Bigcommerce, or else) to work seemlessly with the inventory management app.

Once you update your inventory in Square it will sync in QuickBooks. You can check that here: https://quickbooks.intuit.com/integrations/square/. Click QuickBooks, and you'll see it under Always know what’s in stock.

This is only in Quickbooks. Inventory should automatically be pushed to Quickbooks from Square via the integration.  This is the missing piece.  When do Quickbooks plan to add this to the integration with Square.

QBO is already set to integrate to several applications, eparker1.


Each of these application has their own way of integration. Others might perform the way you wanted and others might not. 


Since QuickBooks is the receiving end, you might want to reach out to the third-party app where inventories are initiated. They can surely take note of your feature requests and feedback. 


Right now, you can follow the steps provided by IntuitTony above as a workaround.
