Expense report for transactions without an associated project

I've got a workaround you may consider doing to get the data you needed on the report. What I can suggest is to pull up the Transaction Detail by Account. Then, customize it to show the expense transactions, and then export the report to Excel. From there, delete all transactions that are linked to a customer/project. Please follow these steps:

 

  1. Go to the Reports menu, then search and select Transaction Detail by Account.
  2. Click the Customize button. From the General section, make sure that the Report period is set correctly. Proceed to the Filter section.
  3. On the Transaction Type drop-down, select the expense transaction types.
  4. In the Account drop-down, mark the accounts you'd like to be included in the report.
  5. Tap Run report.

 

Then, export the report to Excel

 

Also, I suggest sending feedback to our developers to help them know what's best for your business. Here's how:

 

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions. Then select Next to submit feedback.

Transaction Detail by Account Report Then group by Customer. The report will give you a list of transactions not associated with a customer/project.

This appears to work, however I have the same problem as an above commenter.  I can get the report to run and I can see the list of expenses that have the customer "not specified".  Unfortunately, about half of those expenses actually are specified to a customer:project.  Meaning, when I click on one of them, it has a customer and project assigned to it.  Why those expenses are not showing up on the report under the customer:project is a total mystery to me, and makes the report useless because I still have to go in to every expense to see if it is assigned to a customer or not.

Since you've made sure that these expenses are specified to a customer:project, let's perform basic troubleshooting to isolate the issue. Let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

 

If they're now specified to a customer:project in the report, clear your browser's cache. This way, you can access QuickBooks with a clean slate. You may have accumulated too much historical stored in your browser that caused this issue. You can also switch to a different supported browser to see if it has something to do with your browser.

 

Additionally, you can memorize this report to speed up your work. Just click the Save customization button and give this report a name.

 

Visit us again and let me know the result after the troubleshooting. I'm determined to ensure this issue gets resolved.

I am having the same problem, on the report they have no customer:project listed, but if I click on the transaction they are assigned to a project. Did you ever find a solution to this problem?

I want to make sure I provide you the best fix to get around the issue. Were you able to perform the troubleshooting steps shared by my colleague LieraMarie_A above? If not, I recommend doing it so to isolate the issue.

 

If you have and the issue remains, I suggest contacting our support team. One of our live agents can look into your account and see why your report doesn't have customer:project displayed. You can reach out to them by following these steps.

 

  1. Go to the (?) Help icon in your QuickBooks Online (QBO) account.
  2. Select the Search tab.
  3. Click Contact Us.
  4. Enter a brief discussion of your concern and click Continue.
  5. Select either Chat with us (if you preferred messaging) or Give us a call.

I have a question about this topic.  When is Quickbooks going to develop critical feature and properly train the self proclaimed support "experts" to first, understand the question (there are two years of solutions offered and none of them address the actual issue), and second, develop at least a ground level of competency in the support personel?

I never did find an acceptable solution. I just wanted to say I feel your frustration. I have come across so many very basic functions that QBO just can not perform, and the tech support has been less than impressive.

This doesn't work.  The "Not Specified" are also including expenses that have been split.  If any of the line items in a split expense don't have a customer/project, all line items for that expense show up in this report, even those with a customer/project assigned.

I know how important to get this feature added to QuickBooks or have the option to modify the report in our desired way. It'll surely help you run your business seamlessly. 

 

For now, we don't have a specific time frame for when we will release this feature. Still, we can send another feedback to our developers. Or we can follow the steps below to check the votes added to your product suggestion. Here's how:

 

  1. Go to this link: Feature Request.
  2. In the Search field, enter the request you added before.
  3. Find the appropriate request you submitted and open it by clicking the statement.
  4. You'll then see the number of votes on the left side. See the sample screenshot below.
     

If you want to add a new idea, enter them under How can we improve your experience paying invoices online?. After that, click Post a new idea

I don't think QB has any intention of producing high level accounting software. On that note, anyone know of any other accounting software for a small construction business? I have spent tens of hours to no avail.

So, I am having the same issue running an expense report for transactions to see if I missed marking an expense that should be associated with a "Customer" in QBO. What I have noted is that the "Customer" only shows up in the report if it is a "Deposit". The "Customer" does not show on for ANY expenses, although when I click on the Expense it then shows the "Customer". I went into settings to verify that Customers is turned on for expenses and cleared my cache....all to no avail. Is there a fix for this issue yet? I came from QBD where I did not have these issues.

Thanks for joining in this thread, @JuneB1. Let me chime in and guide you to determine which expenses are not associated with a customer in QuickBooks Online (QBO).

 

Yes, you're right. Currently, we're unable to customize an expense report showing the Customer column. As a workaround, you can export it to Excel to manually add it to your report.

 

To show the expenses not associated with a customer, I recommend running the Transaction List by Vendor. Here's how:

 

  1. Go to Reports and search Transaction List by Vendor.
  2. Click Customize.
  3. In the Filter section, select Expense as the Transaction Type.
  4. Click Run Report.

 

Once done, click each transaction to review if it's linked to a customer.

 

Furthermore, you can upload your receipts in QBO to save time recording them.

I followed the above instructions and it worked to show the expenses that were not allocated to a project.  This report should be a standard report in the report section for anyone looking to find unallocated expenses to a project.  I have now saved the report in the clients QBO.  This is why I appreciate classes so much!  The only unfortunate thing about classes is that you are limited to QBO Plus at 40 classes.  You would have to upgrade to advance to manage more then 40 jobs/classes at a time.
