You have to download your bank statement from your bank's website, then upload it to QuickBooks Online. Once uploaded, match your sales receipts to the bank transactions and reconcile the account.

To upload your bank statement, you can follow these steps:

  1. Go to your bank's website and download the bank statement in CSV format.
  2. Log in to QuickBooks Online.
  3. Navigate to All apps, click Accounting, and select Bank transactions.
  4. Click the dropdown button beside the Link account button and choose Upload from file.
  5. Select or create an account.
  6. Click Upload from this device and choose the bank statement.
  7. Map the columns in the file with the correct fields in QuickBooks, then click Continue.
  8. Select the transactions you want to import and click Continue.
  9. Choose Yes and Done to finish the upload.

For more information about uploading transactions in QuickBooks Online, please refer to this article: Manually upload transactions into QuickBooks Online.

Once done, QuickBooks Online will automatically detect transactions that match the imported bank transactions. You can review a transaction by clicking on it and choosing the specific sales receipt that matches the data.

Here's how:

  1. Go to Bank transactions and click the tile where the data was uploaded.
  2. Under the Pending tab, click the transaction.
  3. Choose the sales receipt that matches the data. You can also use Find other matches if no data appears as an exact match.
  4. Click the Match button.

However, if you haven't entered the sales receipts in QuickBooks Online yet, you can import them using the Import data feature in Settings. You can download the sample file and follow the required mapping and format to successfully import your data.

Here's how:

  1. Go to Settings and select Import data.
  2. Choose Sales Receipt.
  3. Click the Download an example link to get the sample format.
  4. Once you have corrected the format of your Sales Receipt, click the Browse button to choose your file.
  5. Tick the Add new contacts and Add new products/services checkboxes to add information that does not already exist in QuickBooks.
  6. Click Next.
  7. Map the data correctly, then click Next and Start import to finish.

Once matching is complete, you can follow these steps to reconcile an account:

  1. Go to All apps, select Accounting, then select Reconcile.
  2. If you're reconciling for the first time, select Get started.
  3. From the Account dropdown menu, select the account you want to reconcile.
  4. Review the Last statement ending date. Your current account statement should start the day after this date.
  5. Enter the Ending balance and the Ending date from your account statement.
  6. When you're ready to start, select Start reconciling.
