Thank you for reaching out to the QuickBooks Community! Yes, you can reprint your 941. All you have to do is follow the steps below:

 

  1. Go to the Employees menu and select Payroll Center.
  2. Select the File Forms tab.
  3. Under Filing History, go to the Saved Filings tab.
  4. A table of all your saved tax forms in PDF format will be shown.
  5. Choose the one that you need and print it.

If I started a Q3 941 and printed it to PDF and then saved it in QB out of habit, how do I bring the form up again to file it or can I start the Q3 filing again to file it.

Saving a PDF copy does not finalize or lock the return in QuickBooks Desktop. Your next steps depend on whether you completed the filing or exported a draft.

 

If QuickBooks actually processed or saved the filing internally before you printed the external PDF, you can retrieve it directly inside your filing history.

 

To do it:

 

  1. Navigate to the Employees menu and select Payroll Center.
  2. Click the File Forms tab.
  3. To find your saved filings, scroll to the bottom of the page and click on the Saved Filings tab under the Filing History section.
  4. Click on your saved Q3 941 to reopen it and select E-file or Submit.

 

If you only generated a draft to PDF and didn't complete the filing steps within QuickBooks, you can safely start the Q3 filing process again. Please note that restarting the form won't break anything. QuickBooks generates Form 941 dynamically based on your recorded payroll checks for that quarter.

I didn’t complete the filing steps and didn’t file it.  I opened the form and printed it to PDF and saved it in Dropbox because a client is closing their business and wasn’t having any more payroll this quarter and needed a copy for their insurance audit.  I saved it QB out of habit and then closed QB. 

So when I go to File their q3 941, I should be able to go to the forms section of the payroll center and start a new q3 941 without any problems?
