I need suggestions on how to create backup files for clients that I don’t longe have. I don’t want to pay for a subscription on inactive customers also don’t want to lose the information on their accounts.  Please and thank you

Since you are managing your clients through QuickBooks Online Accountant, there isn't a traditional backup file option like in QuickBooks Desktop, and the Online Backup and Restore is only available in QuickBooks Online Advanced. With regard to your client’s data, it will remain accessible even after you cancel their subscription.

If your client is using QuickBooks Online Advanced, you’ll need to run a backup file before proceeding with the cancellation.

Here’s how:

  1. Go to the Client list tab.
  2. Select the client whose subscription you wish to cancel.
  3. Use the Action drop-down menu to either Cancel the subscription or Transfer billing to your client.

Export your client's data before canceling their subscription if they are not using QuickBooks Online Advanced.

  1. Go to the Gear icon > Export data.
  2. Set the date range.
  3. Toggle on the Reports and Lists you want to export.
  4. Then, click Export to Excel.

For individual items such as estimates, purchase orders, or attachments, you'll need to export them separately from their respective areas.

For detailed steps on exporting data and individual items, refer to this article: Export your QuickBooks Online data.
