Currently, changing the customer statement template isn't an option in QuickBooks Online (QBO). However, you can choose to list each transaction as a single line, including all details, and show the aging table at the bottom of the form. To do this, you'll have to visit the Sales menu on the Account and Settings page. For the detailed steps, here's how:
Go to the Gear icon.
Select Account and settings.
Go to the Sales menu.
Click anywhere in the Statements section to open its contents.
Choose the option you want (List each transaction as a single line, List each transaction including all detail lines, or Show ageing table at bottom of statement).
Select Save.
I've attached a screenshot below that shows the last four steps.
There are three types of customer statements in QBO. It's the Balance forward, Open Item, and Transaction Statement. If you wish to know more about them, kindly check out this article: Create and view customer statements.
In the meantime, I'd recommend visiting our blog and newsletter to keep you updated on the latest news and product upgrades.
Additionally, you're able to customise your sales forms like invoices, quotes, and sales receipts. This is to add information that matters most to your business. For the step-by-step guide, you can refer to this article: Customise invoices, quotes, and sales receipts in QuickBooks Online. It also includes details about editing custom templates.
You can always comment below if you have other concerns or follow-up inquiries about managing customer forms in QBO. I'm just around to help. Take care always.
The statement no longer fits in my double window envelope for mailing to customers. It changed on it's own and now I can no longer use the envelopes I purchased. Why the sudden change?
Thanks for joining this conversation. I'm here to help address the issue you're having with customer statements in QuickBooks Online (QBO).
Are you trying to print your customer statements? If so, you can manually change the paper size to your preferred envelope size in the Print or Preview section.
Here's how to do it:
Open the customer's statement.
Click the Print or Preview option at the top bottom.
Tick the Print icon at the upper right.
In the More settings section, choose your preferred envelope size in the Paper size in the drop-down.
If the issue persists, this may be a PDF printing issue. In case this, I suggest checking out this article for steps on how to fix it: Test sequence for PDF printing issues.
I'm only a post away if you have any other issues or concerns. I'll be around to help. Take care and have a good one!
My client's statement is not showing the company phone number and I cannot add the EFT details for payment to the statement either. His invoices contain this but it is frustrating that this is not appearing on the statement. I have also included the EFT details in the email that accompanies a statement but this is not satisfactory for statements that need to be printed and posted,.
Also, I cannot edit the statement to ensure it fits in a window faced envelope. This functionality should be able to be set up in QBO and then forget about it unless there is a change to this information.
Why cant we do this? Also, why doesn't the statement at the very least honor the template for the invoice so we have some brand consistency? I think its silly that with all of the other customization options everywhere else, that we cant at least select a template in QBO.
Seriously Intuit, what the F* is going on that after this many years of us requesting to be able to customize the statement form that it still isn't an option?!?
So after more than two years, this is still not an option? Why is it you have time to make the interface less user friendly when it wasn't broken but we cannot customise statements appearance... all your competitors allow this - might as well move over to Xero at least it has some of the basics correct.
Right now, being able to customise customer statements is unavailable in QuickBooks Online (QBO). I can see how the feature you're looking for would benefit and empower your business. In the meantime, I recommend sending this request straight to our product engineers through feedback.
If you have other concerns and questions about managing your QBO account, I'm always around to help. Take care, and I wish you continued success, @JP-PR.
This canned response after this many years of users asking for this feature is ridiculous and a slap in the face you customers. There is literally no reason your people have not addressed this already. Instead they're spending time constantly rearranging the navigation menu which does NOT need to be messed with, nor do we want you to keep messing with it.
I have the "show aging statement" option turned on. The aging statement does show in the statement, but then when I go to print it, it's gone. I've tried changing the paper size in the print preview options, but the aging table still does not show and does not print in spite of the aging statement being present when I create the statement and having "show aging statement turned on".
I tried exporting to excel as suggested above, but when I go to all sales, I cannot filter the transaction type by statements. That isn't even listed as a transaction type in the drop down list for transactions, so I can't do anything else. Can't edit the template in Quickbooks online. Can't export to Excel. Can't get the aging table to print. There are a lot of things I can't do and not much I can do to fix it!
I'll step in and share details about customizing templates in QuickBooks Online (QBO).
A browser issue might have caused the aging statement doesn't show. Let me share some steps that can resolve common browser issues when working in QBO.
Start by using or switching to an incognito or private browsing session. Use these keyboard shortcuts to open one depending on the browser that you're using:
From this morning al my clients that pay with the card are not able to receive statements as the banking fees from the deposits appear on the customer statements.
I have called with no joy and I have checked all settings and have done everything possible from my side but I can not fix this problem.
I only use balance brought forward statements and its now showing deposit banking fees.
Hi there, Hezette. We aim to provide you with a better experience than what you are currently encountering. I'm here to assist you today.
Are you trying to send a statement to your customer, but they never receive it? We just want to make sure that we're giving you the right information to resolve the issue. To isolate the issue, I recommend you let your customers check their junk or spam folders as it might have been forwarded there.
If this is not the case, we can clear and re-enter your email address. You can follow the steps below.
Go to Settings ⚙, then select Account and settings.
Go to the Company section, then select Edit ✎ in Contact info.
Clear the Company email field and enter the desired address as is, even if it appears correct. (Note: Be sure not to use any extra characters or spaces before, within, or after the address you enter).
Select Save, then Done.
Send yourself a test transaction.
If you still don't receive the email, try using a different email address that has a different domain (for instance, if you were using a Gmail email address, try a Hotmail or Yahoo address instead).
On the other hand, a browser issue might have caused the statement that is not sending. Let me share some steps that can resolve common browser issues when working in QBO.
Start by using or switching to an incognito or private browsing session. Use these keyboard shortcuts to open one depending on the browser that you're using:

Why aren't the same statements and statement formats available in QuickBooks Online like there are in QuickBooks desktop? With support no longer being available for QuickBooks Desktop, this company switched to QuickBooks Online but the last thing we expected was to not be able to do some of the basic functions that were done with the Desktop version. What gives?
Why is it necessary to raise an issue and submit a request to a development department for something that was already available? We're not asking for something new or foreign. This statement is on the QuickBooks Desktop...just go get it! What is so hard about that? Why would something useful be removed in the first place?
There is nowhere in QuickBooks Online to create or customize a customer statement that is remotely close to the Desktop statement that simply listed the payments made for the year, and the total—a statement that our company provided to our clients for tax reporting purposes. Why couldn't the existing report be kept in place?
There isn’t even a place to edit the statement heading to include our EIN (which should be a simple option).
Are you seriously telling your clients to export data into Excel and manipulate it instead of being able to generate a statement in QuickBooks? Do you know how much time that requires? Do you understand the gross margin for error it creates?
To discontinue support for Desktop and have clients use Online for way more money and far less features, not even having basic features is reprehensible and unconscionable.
Your very last words describe everything that's wrong with corporations. It's all about money and they don't care about the user's experience. There probably is or will be a higher cost version of online that includes some of what they took away. I feel the loss of much more than just configurable statements.
We are in a subscription-based economy and if you want more options, even basic ones that are borderline necessary, you're gonna have to pay for it. Every month/year. Forever. I wish I could go back to the desktop version as it was the best! Jerry, the best!
I'd just like to add to the list of QBO customers who view QBO's response to customer's issues as unsatisfactory. I too wish I could edit the format of the statements, and I'm having to spend a considerable amount of time formatting my statements IN RESPONSE TO MY CUSTOMER'S requirements! QBO / Intuit has passed the buck.
Now, I understand that we as YOUR customers, and wanting the ability to edit the format of statements creates endless amounts of custom queries to your backend databases, and that's asking too much. So, after several years, there hasn't even been the addition to have limited options like there are in "Custom Form Styles".
In regards to asking people on the forum, who submit legitimate feedback, to submit through your feedback system...THIS IS A METHOD OF FEEDBACK, and it's Intuit's job to take this information and submit it to its development team. Submitting feedback covertly through QBO is merely masking issues from the public eye. Having issues available to be viewed publicly (e.g: this forum) is just bad for business, eh?
If you're going to slowly herd me over to QBO, so Intuit can slowly let go of QBD, give me access to tailor my reporting without having to export data to a separate program. I'm not talking pretty little lines and the ability to add flowers to the border. I want to be able to provide my customers the data THEY want. I don't want a cookie-cutter response. Intuit's response needs to be through action. Intuit's cost reduction in development is really a short-term gain for stakeholder returns. As these issues pile up in Intuit's 'ignore' pile, revenue has a tendency to decrease, and long-term stakeholder returns suffer...just sayin'.
At this time, we’re unable to provide an exact timeline for when customization options for customer statements will become available.
In the meantime, we suggest reviewing the workarounds outlined in this thread to help address your needs. We also recommend regularly checking Intuit's Product Updates webpage to stay informed about the latest QuickBooks updates and feature releases.
