Why do I get "this email address is not registered for forwarding email receipts," and how do I set up receipt forwarding in QuickBooks Online?
That error happens because receipts have to go to a special custom forwarding address that QuickBooks creates for you, not the email you sign in with. Once you set up that custom address in the Receipts tab and forward your receipts to it, they'll come straight in. Make sure you're on Business view so you can see these steps.
Create your custom forwarding address
Setting up the address is a four-step, one-time task.
- Go to All apps, then Accounting, then Receipts.
- Select Forward from email.
- In the Enter email address field, create your customized address (it ends in @assist.intuit.com), then select Next.
- Confirm it's correct, select Looks good, then Done.
Important: use the exact address QuickBooks shows on this screen rather than typing one from memory, since that's the address tied to your company (If your account is older, you may still see a legacy @qbodocs.com address; either way, use the one QuickBooks displays). Let specific users forward receipts
Each person who forwards receipts has to be switched on here first.
- Go to All apps, then Accounting, then Receipts.
- Select Manage forwarding email.
- Turn on the toggle for each user you want to allow, then select Close.
Users need to be at least a standard user with Vendor access to forward, and one email can be registered per user. More on roles: Add and manage users in QuickBooks Online.
Sending the receipts
Email the receipt image to your custom @assist.intuit.com address; you can include multiple images in one email. Each image should contain a single receipt, be a PDF, JPEG, JPG, GIF, or PNG, and the attachment should be between 46KB and 20MB. QuickBooks then reads the date, amount, vendor, and last four digits of the card and drops it into your Receipts tab to review. If you use Gmail, you can set it to auto-forward incoming receipts to that address; note that a Gmail address containing a "+" may not register.
