Question

inventory on hand reporting

Is there a report that will show actual inventory on hand(including the pending sales orders?) When we take an order we enter the invoice and mark it as "pending". Once we ship it we mark take the pending mark away and finalize the invoice. I am running into issues when someone calls and wants to know what we have on hand. Our inventory is showing a number but that number does not include the pending sales that we will be shipping out. So for example Inventory will show 2, but we have a pending invoice showing 2 which would make actual inventory 0.  How can I go about fixing this?

Hello there, @pgh1949

Thanks for letting us know what you're trying to achieve today. You can run the Inventory Stock Status by Item report to get information about on-hand inventory.

Here's how:

  1. Go to the Reports menu.
  2. Select Inventory.
  3. Choose Inventory Stock Status by Item

You can also open the Inventory Valuation report to check if the quantity is accurate.

Additionally, read and learn about customizing reports in QuickBooks to help you focus and generate the details that only matter to you and your business.

Update us here if you have additional concerns. I'll be delighted to guide you some more on your next posts. Take care!

Thanks for the info. I have done that, but my report will not include the non posting transactions. Even after I go through the filter settings to include posting and non posting. Is there a way to fix this?

Hi, jennyf.

I can share some insights about running an on-hand inventory report.

The information provided by my colleague will let you see the available quantity of your items. If you haven't seen the information you wanted, you can run the item listing and compare it with the Inventory Stock Status by item report.

Here's how:

  1. Go to the Reports menu.
  2. Select the List.
  3. Choose Item Listing.

In addition, the non-posting transaction will not affect the actual inventory. This could be one of the reasons why you haven't seen it on your end.

If the issue persists, I'd suggest reaching out to our Support Team. They'll be able to check your account in a secure environment.

In the future, you can review this resource for more info: Adjust your inventory quantity or value in QuickBooks Desktop.
