Hello! We’re using QB Pro Plus 2024 desktop, and about a week ago I noticed 2 entries that I did not enter. One was from March 2023 that shows an open balance on our aging summary, and one was from July 2025 showing a small open balance on FUTA in the payroll liabilities window. I checked the Audit Trail and the last update to the 2023 entry was from June 2023 “to account for statement charges”, no activity after that whatsoever. July 2025 outstanding FUTA balance, as of this morning, has vanished without any action on my part. Is there a glitch with the program? Is my QB being hacked? I’m not sure what’s happening or why, or what else might happen if we can’t figure out how to fix it! Thank you

No worries. Based on your description, your account shows no signs of new unauthorized activity or suspicious transactions.

 

Since the Audit Trail already confirmed the March 2023 entry was updated to "to account for statement charges," It means someone (or the system) added a statement charge directly to the customer's register. If that charge were never paid or offset, it would remain an open balance on the Aging Summary. Entering statement charges in QuickBooks affects a customer's balance, but it doesn't require you to send them an invoice.

 

The fixes would be:

 

  • If the charge is valid, collect payment via Received Payments and apply it to that charge.
  • If the charge was entered in error, delete or void the statement charge from the customer's register.
  • If it's uncollectible, write it off using a credit memo to zero it out.

 

For an open balance on FUTA in the payroll liabilities window that suddenly vanished without any actions, let's run the Payroll Liability Balances report to check/see for any payments applied or adjustments.

 

If there are no payments shown in the report, let's check/confirm the payment schedule setup on your FUTA. Here's how:

 

  1. Go to Employees, then Payroll Center.
  2. Click the Pay Liabilities tab.
  3. In the Other Activities tab, click Change Payment Method.
  4. Select Scheduled Payments and look for FUTA.
  5. Hit Edit.
  6. It will then show you the Payment (deposit) frequency. If you want to change the frequency, you can select the dropdown.
  7. Click Finish once done.

 

Moreover, if you want to be sure that there is no fraud activity happening in your QuickBooks, let's do a quick check:

 

  1. Go to Company.
  2. Select Set Up Users and Roles.
  3. Enter your Password to proceed.
  4. Confirm no unfamiliar users have access by clicking the View User.

 

That said, it's also a good idea to confirm your QuickBooks isn't shared on a network with unauthorized access and check the Audit Trail for any edits you don't recognize.
